Role Summary
This is a full-time, on-site Executive Personal Assistant position in Fort Myers, Florida. In this role, you will provide broad support to senior leadership by managing calendars, arranging meetings and travel, coordinating both personal and business appointments, and keeping documents in order. You will also handle correspondence, prepare reports and presentations, maintain records and files, and make sure tasks and follow-ups are completed on schedule.
The role also serves as a key liaison between the executive and internal or external contacts, with a strong emphasis on confidentiality and careful handling of sensitive information. A successful candidate will stay ahead of needs, improve day-to-day workflow, and maintain a well-organized environment so leadership can stay focused on strategic priorities.
Responsibilities
- Manage the executive’s calendar, appointments, and day-to-day scheduling.
- Coordinate travel arrangements, meetings, and related preparations.
- Support both personal and professional tasks for senior leadership.
- Organize, file, and maintain documents, records, and reference materials.
- Draft, route, and manage correspondence with professionalism.
- Prepare reports, presentations, and other executive materials as needed.
- Track action items, follow-ups, and deadlines to ensure timely completion.
- Serve as a communication bridge between the executive and stakeholders.
- Handle sensitive information with discretion and strong confidentiality.
- Anticipate needs and help streamline routines and workflows.
Requirements
- Hands-on personal assistance experience supporting senior leadership.
- Background in executive administrative support, including calendar, travel, meeting, and document coordination.
- Strong written and verbal communication skills for professional stakeholder interaction.
- Good diary management and scheduling ability with strong prioritization and time management.
- Solid clerical and office software skills, including email, calendars, word processing, spreadsheets, filing, and data entry.
- High discretion and integrity when working with confidential information.
- Excellent organization, attention to detail, and ability to juggle multiple priorities and deadlines.
- Previous support experience with C-level or other senior executives is preferred.
- Associate degree, bachelor’s degree, or equivalent practical experience in Business, Administration, or a related area is an advantage.
