About Cytokinetics

Role Overview
The Executive Assistant supports the Chief Financial Officer (CFO) and the CFO leadership team with high-level, confidential administrative and operational tasks. This position demands discretion and professional judgment in managing sensitive information linked to Board affairs, financial disclosures, corporate transactions, and communications with investors, auditors, bankers, and other key stakeholders.
Key Responsibilities
- Provide complex calendar management, arrange meetings and travel, handle expense reports, and prioritize daily activities for the CFO and associated leadership.
- Coordinate leadership team meetings including agendas, materials, action items, follow-ups, and organize offsite sessions.
- Manage logistics and processes related to the Audit Committee, such as scheduling meetings, preparing materials, tracking timelines, and maintaining official records.
- Maintain strict confidentiality and discretion when handling sensitive matters related to financial results, corporate strategy, compensation, organizational changes, financings, investor relations, audits, and Board discussions.
- Act as the communication hub between the CFO office and executive assistants, internal teams, Board members, external auditors, investors, bankers, consultants, and vendors.
- Support business cycles including quarterly and annual Board and committee preparations, earnings activities, audit schedules, SOX compliance documentation, and budgeting tasks.
- Prepare, edit, format, and proofread executive presentations, reports, agendas, correspondence, and communications both internal and external.
- Organize logistics for various meetings such as executive sessions, investor relations meetings, auditor discussions, Board meetings, offsites, and cross-functional groups.
- Contribute to special projects like due diligence, process improvements, documentation management, team engagement initiatives, and onboarding support.
- Use sound judgment and independent decision-making to resolve conflicts, prioritize sensitive tasks, and meet time-sensitive deadlines.
Required Qualifications
- Associate or Bachelor's degree preferred.
- Minimum of 10 years in administrative roles, with at least 4 years supporting C-level executives in public companies.
- Experience supporting Boards of Directors, audit committees, investors, bankers, or other senior external groups preferred.
- Previous work in biotech, life sciences, pharmaceutical, or other regulated public company environments is highly advantageous.
- Strong grasp of confidentiality requirements, especially handling sensitive corporate, financial, legal, compensation, and organizational information.
- Excellent skills in calendar management, prioritization, written communication, and organization.
- Ability to demonstrate professionalism, discretion, urgency, and sound judgment under fast-paced conditions.
- Attention to detail with capability to juggle multiple deadlines, stakeholders, and conflicting priorities.
- Proficiency with Microsoft Office suite, Teams, Outlook, file sharing platforms like Box or SharePoint, expense and travel management systems, and Board governance tools preferred.
Compensation
In the United States, the annual salary range for fully qualified candidates is between $128,970 and $150,465. Actual offers will reflect considerations such as geographic location, experience, skills, and internal equity.
