Role Overview
This full-time Executive Assistant role is located on-site in Los Angeles, CA and entails providing broad-ranging administrative support at an executive level. Key tasks include calendar management, scheduling meetings, coordinating travel plans, and preparing expense reports. Additional duties encompass managing correspondence, organizing documents, aiding preparation for presentations and meetings, and supporting smooth office functions.
The Executive Assistant also acts as a liaison for internal colleagues and outside partners, managing request priorities and ensuring timely completion of executive tasks. This position demands discretion, excellent organizational skills, and proactive anticipation of needs within a dynamic production environment.
Required Skills and Qualifications
- Proven expertise in executive administrative functions such as managing calendars, coordinating meetings, and prioritizing tasks effectively.
- Experience with expense report preparation and reconciliation, alongside basic budget or cost monitoring assignments.
- Capability to handle confidential information and provide administrative support to multiple leadership figures.
- Strong verbal and written communication skills necessary for professional interaction with both internal teams and external contacts.
- Competence in organizational tasks like document management, filing, and maintaining efficient office workflows.
- Familiarity with productivity suites such as Microsoft Office or Google Workspace and scheduling/collaboration tools.
- Keen attention to detail, dependability, and the ability to operate independently in a fast-paced on-site setting.
- Experience in media, entertainment, or production industries is advantageous; an associate or bachelor’s degree in a relevant discipline is preferred.
