About the Role

James L Williams Middle East invites applications for a meticulous and well-organized Document Controller to join our project team on site. This position supports the efficient delivery of our substantial construction projects by overseeing all aspects of project documentation management. The role entails maintaining precise document control systems, ensuring timely dissemination of project records, and assisting site administration in compliance with company protocols and client specifications.

Key Duties and Responsibilities

  • Administer and organise all project documentation aligned with the Project File Index and Document Distribution Procedures.
  • Manage the receipt, distribution, tracking, and filing processes of incoming and outgoing project documents to uphold accurate records and acknowledgements.
  • Update and maintain registers and logs for various project-related documents such as WIRs, MIRs, RFIs, NCRs, SORs, Method Statements, Damage Reports, IFC Drawings, among others.
  • Coordinate submissions of documents including WIRs, MIRs, Method Statements, and Builder's Work Requests to secure consultant approvals.
  • Operate within Electronic Document Management Systems (EDMS), preferably Aconex, to ensure current updates and proper document circulation.
  • Draft project correspondence, letters, and reports as directed by the Project Director or Project Manager.
  • Track overdue actions and liaise with project teams and contractors to guarantee timely closure of documentation.
  • Maintain red-line mark-ups and project records to support engineering and construction operations.
  • Offer administrative assistance for site office functions, including managing document control, employee records, office supplies, petty cash, and general site administration tasks.
  • Comply with company standards encompassing Quality Management System (QMS), Health, Safety & Environmental Management System (HSEMS), and Information Security Management System (ISMS).

Qualifications and Experience

  • Bachelor's degree in any field; formal coursework or certification in Document Control is advantageous.
  • Between 3 and 5 years of document control experience specifically within the construction sector.
  • Proficiency with Electronic Document Management Systems, with a preference for Aconex experience.
  • Skilled in Microsoft Office suite applications.
  • Exceptional organisational abilities, excellent communication skills, and adept time management, with keen attention to detail.
  • Capacity to manage multiple priorities efficiently while maintaining document accuracy and confidentiality.
  • A proactive collaborator with strong coordination and administrative competencies.
