Job description
Position Overview
We are looking for a seasoned Document Controller to oversee document management for a project based in Abu Dhabi, United Arab Emirates. The role involves systematically handling all project documentation, ensuring they are well-organized, securely stored, and easily retrievable. This function supports the project’s smooth progress by maintaining the integrity and security of all documents. Preference will be given to candidates who can join immediately.
Key Responsibilities
- Manage documentation across multiple projects simultaneously using various document control systems and methodologies.
- Develop, implement, and update Document Control Procedures aligned with the Company's Document Management System.
- Provide thorough document control support customized to each project’s needs.
- Generate and maintain progress reports related to document management for Project Managers.
- Ensure all project documentation complies with client requirements and company standards.
- Create and organize document control and correspondence folders for individual projects.
- Collaborate closely with Project Managers to integrate document control activities with overall project progress.
- Maintain departmental templates to comply with corporate standards.
- Manage incoming telephone inquiries and appointment scheduling.
- Compose letters to clients and contractors adhering to specifications and company policies.
- Record receipt of documents and monitor the status of controlled documents.
- Distribute documents to internal and external parties for necessary review.
- Offer administrative and clerical assistance to project directors, managers, and engineers.
- Perform additional duties as assigned to support supervisors and project teams.
Qualifications and Requirements
- Bachelor’s degree in a relevant field.
- 3 to 4 years of practical experience in document management roles.
- Basic knowledge of Engineering, Procurement, Construction, and Commissioning documentation.
- Familiarity with Electronic Document Management Systems (EDMS).
- Proficient in Microsoft Office suite and Adobe Acrobat.
- Capable of working efficiently in a fast-moving, deadline-oriented environment.
- Highly detail-focused, reliable, trustworthy, self-driven, and motivated.
- Strong oral and written communication abilities.
