Role Overview
This full-time, on-site position in Singapore focuses on managing project and corporate records with accuracy, timeliness, and secure handling. The Document Controller will maintain document control processes, keep numbering and revision systems consistent, track document progress, and ensure that approved records reach the right teams and stakeholders. The role also supports compliance, audits, and reporting while protecting confidentiality and improving how documentation is handled across the organization.
Key Responsibilities
- Establish and maintain document control workflows and filing systems.
- Organize, update, and retrieve project and corporate documents efficiently.
- Apply document numbering, versioning, and revision control based on company and client standards.
- Monitor document movement, approval status, and distribution to internal and external parties.
- Work with project managers, engineers, and operations teams to support documentation needs.
- Assist with compliance requirements, audits, and reporting by keeping records accurate and accessible.
- Safeguard sensitive information and maintain confidentiality at all times.
- Look for ways to improve document handling processes, efficiency, and data quality.
Required Qualifications
- Experience in document and records management, including structured filing and retrieval methods.
- Working knowledge of documentation control practices such as version tracking, templates, and project records.
- Clear communication skills for coordinating with colleagues, clients, and other stakeholders.
- Ability to use document control tools, databases, and Microsoft Office applications such as Word, Excel, and PowerPoint.
- Strong attention to detail, organization, and the ability to handle several document streams and deadlines at once.
- Background in the oil and gas or engineering sector, especially in offshore or project-based settings, is preferred.
- A diploma or degree in Business Administration, Information Management, Engineering, or a similar discipline; equivalent experience may also be considered.
- A strong sense of confidentiality, data integrity, and compliance with company and regulatory standards.
Additional Information
This role is based on-site in Singapore and is offered on a full-time basis. The position is best suited to someone comfortable working in a fast-moving environment with multiple documentation workflows and stakeholders.
