Position Overview
The Customer Service Representative – Logistics Specialist role acts as a hands-on intermediary coordinating between customers, freight carriers, and warehouse operations. Responsible for managing the entire national and international freight process—from initial order entry through delivery confirmation—this position is a direct problem-solver fixing shipment exceptions and ensuring accurate documentation, not just delegating tasks.
Key Duties
- Manage freight bookings both domestically and internationally from order initiation to final delivery.
- Continuously track shipments, identify delays or issues early, and resolve them in coordination with carriers.
- Prepare, validate, and oversee shipping documents including bills of lading, commercial invoices, packing slips, and customs paperwork.
- Engage directly with ocean and air carriers, freight forwarders, and customs brokers regarding scheduling, arrival updates, and specialized handling requirements.
- Serve as the main contact for customers to provide status updates, respond to shipment inquiries, and handle delivery problem resolutions.
- Maintain precise shipment records in company systems including tracking details, delivery confirmations, and freight billing data.
- Collaborate with warehouse and sales teams to ensure timely picking, packing, and shipment of orders.
- Recognize frequent process issues in shipping and suggest potential improvements.
- Complete assigned logistics and customer service tasks as necessary.
Qualifications
- Minimum high school diploma or equivalent; associate's or bachelor's degree in logistics, supply chain, or business preferred.
- At least 2 years of professional experience in logistics or freight coordination within wholesale, distribution, or manufacturing sectors.
- Minimum 2 years customer service experience in similar industry environments.
- One year call center experience.
- Solid familiarity with international shipping documents such as commercial invoices, packing lists, and customs entries.
Preferred Skills
- Experience using Transportation Management Systems (TMS), ERP, or Electronic Data Interchange (EDI) platforms.
- Proficient in Microsoft Excel.
- Strong communication skills, both written and verbal; bilingual English/Spanish capabilities are advantageous.
- Highly organized and capable of managing multiple shipments and priorities efficiently.
- Comfortable working under pressure in fast-paced, deadline-driven settings.
Physical and Work Conditions
This role entails extended periods of sitting at a computer workstation and use of office equipment such as telephones and scanners. The job requires standing, walking, and moving around office and warehouse spaces, including occasional lifting or handling of items up to approximately 30 pounds (e.g., product samples and shipping materials). Duties demand manual dexterity, keen eyesight, and hearing ability for accurate completion of functions.
The environment combines office-based logistics coordination with periods spent in the warehouse or distribution center. Noise levels can be moderate to loud due to operating forklifts and material handling machinery. The position requires close collaboration with warehouse, customer service, sales, and accounting teams. Standard business hours apply, with occasional extended or weekend shifts during peak periods or special operations.
