Overview
Join Cushman & Wakefield as a Customer Relations (Admin) Manager, where you will oversee office management, governance, procurement, records administration, and executive support tasks. The role demands leadership in maintaining seamless office operations and effective administrative governance.
Key Responsibilities
- Plan and coordinate all company and internal leadership meetings such as board meetings, subcommittee sessions, and management gatherings.
- Attend these meetings to create accurate, unbiased minutes capturing decisions, follow-ups, responsibilities, and deadlines.
- Organize agendas, meeting documentation, attendance logs, and action trackers; ensure they are distributed and archived promptly.
- Maintain a secure, well-organized minutes archive adhering to records management and audit standards.
- Manage daily office functions including front desk, mail handling, supplies, meeting room logistics, pantry upkeep, access control, and equipment inventory.
- Lead and mentor the administrative team, managing their schedules, workload allocation, and performance evaluations.
- Develop and implement standard operating procedures (SOPs) to enhance accuracy, efficiency, and client experience in administrative workflows.
- Oversee visitor reception protocols, office security measures, and housekeeping services.
- Ensure central records like contracts, policies, circulars, advisories, minutes, and correspondence comply with retention and security policies.
- Enforce practices such as file naming norms, version control, and proper access permissions to protect confidential information.
- Support procurement processes including requests for quotations, evaluation summaries, and purchase requisition/order management following company guidelines.
- Manage contracts and service agreements with vendors providing cleaning, security, printing, courier, and equipment services.
- Monitor contract timelines, renewals, insurance needs, and key performance indicators; address performance issues promptly.
- Assist in budgeting and tracking expenses related to office supplies, equipment, subscriptions, courier services, and meetings while identifying opportunities for cost savings without compromising quality.
- Handle office maintenance, minor enhancements, asset tracking, and equipment lifecycle management.
- Coordinate with Facilities and external parties for repairs, health and safety compliance, and workspace modifications.
- Lead office relocations, seating arrangements, and preparations for business continuity concerning administrative functions.
- Ensure all administrative activities comply with corporate policies, applicable laws, and audit requirements.
- Prepare documentation for audits and supervise prompt resolution of any audit findings.
Candidate Profile
- Possesses a diploma or degree in Business Administration, Management, Public Administration, or a related field.
- Has between 5 to 8 years of relevant experience in office administration, executive support, office management, or corporate services.
- Demonstrated expertise in taking formal minutes for management, committee, or executive level meetings.
- Experienced in supervising administrative staff and managing relationships with external vendors and service providers.
- Familiar with procurement procedures, records governance, budgeting, and administrative compliance.
