Job description

Role Overview

We seek a highly organised Collections Administrator to aid in the daily management and execution of waste collection operations. This role demands active involvement in route scheduling, continual driver communication, customer relations, and swift resolution of logistical issues to ensure collections run on time and customers stay informed of any updates.

Key Duties

  • Develop, assign, and modify daily collection routes as needed.
  • Arrange regular, spontaneous, and special collections for customers.
  • Track vehicle locations and progress using GPS and other monitoring tools.
  • Maintain ongoing communication with drivers throughout service hours.
  • Provide drivers with detailed instructions and site-specific collection information.
  • Respond promptly to operational challenges such as vehicle breakdowns, delays, missed pickups, and road closures.
  • Inform customers proactively about any service alterations or delays.
  • Address and manage collection inquiries and complaints in collaboration with the operations team.
  • Coordinate vehicle availability including repairs and scheduled maintenance.
  • Ensure vehicles operate within legal load capacities and manage capacity monitoring.
  • Coordinate with transfer stations, recycling centers, and disposal sites on logistics.
  • Keep precise records needed for reporting, invoicing, and regulatory compliance.
  • Collaborate closely with Operations, Maintenance, Sales, and Customer Service departments.
  • Support drivers with onboard technology, navigation aids, and reporting tools.
  • Promptly report accidents, incidents, and any safety concerns.

Candidate Profile

  • Background in transport, logistics, waste management, or a related operational function.
  • Excellent planning and organisational capabilities.
  • Confident communication skills liaising with drivers, clients, and internal teams.
  • Effective problem-solver, capable of quick adjustments to evolving situations.
  • Familiarity with dispatch, route planning software, or GPS tracking technology.
  • Strong focus on accuracy and thorough record maintenance.
  • Practical knowledge of transport safety regulations and compliance.
  • Ability to juggle competing priorities efficiently during busy periods.
  • Positive, professional attitude oriented toward high-quality customer service.
