About the Role
The Clinical Coordination Manager leads the Clinical Coordination team responsible for ensuring accurate and complete provider schedules across multiple markets. This position provides leadership and operational guidance to maintain scheduling consistency and excellence by managing workload, training, team development, and cross-department collaboration.
Key Responsibilities
- Lead and develop the Clinical Coordinators through clear delegation, accountability, regular coaching, and periodic performance reviews.
- Manage team scheduling and balance workloads across various markets based on provider availability and appointment volume.
- Monitor daily and weekly priorities to ensure schedule accuracy and timely updates.
- Oversee the management of accepted treatment cases and new-patient backlogs by coordinating with provider availability and scheduling priorities.
- Identify and escalate scheduling obstacles such as pending medical clearances, insurance verifications, pre-medication requirements, facility documentation, and lab cases.
- Analyze recurring scheduling issues, trends, and operational gaps to design and implement workflow improvements and preventive measures.
- Collaborate cross-functionally to resolve scheduling barriers and support seamless patient flow.
- Track and report performance metrics including schedule health, backlog progress, cancellations, and escalations to leadership regularly.
- Support system enhancements and automation projects involving CareStack and Healier platforms.
Required Qualifications
- Minimum of 5 years’ experience in dental, medical, or clinical scheduling or coordination with at least 2 years in a leadership role.
- Proficiency with CareStack or comparable Electronic Medical Record (EMR) systems and Google Suite.
- Thorough understanding of medical/dental workflows including multi-facility coordination, pre-medication and medical clearance processes, insurance verification, and lab case handling.
- Proven leadership skills managing remote teams, delegating tasks, coaching, enforcing accountability, and driving continuous process enhancements.
- Excellent interpersonal and communication skills with a service-oriented approach.
- Strong organizational skills including prioritization and workload management.
- Capable of independent problem assessment, decision-making, and maintaining composure in dynamic environments.
Work Environment
- Fully remote position requiring dependable internet connectivity.
- Frequent virtual communication with team members, providers, facilities, and internal departments.
- Occasional travel for leadership meetings, field sessions, or training activities.
Compensation and Benefits
- Annual base salary between $60,000 and $65,000.
