Mindful Support Services is a B2B organization assisting independent mental healthcare providers by managing administrative tasks such as lead generation, marketing, billing, and payment collections. Since 2011, we have grown to support over 2,500 providers, developing the Mindful Therapy Group brand focused on simplifying the healthcare landscape and improving access to quality mental healthcare.
Position Overview
The Area Manager is a vital operational leader responsible for overseeing multiple office locations primarily across Colorado, Arizona, Nevada, and Texas. Based in Colorado, this role requires frequent travel within these states. The manager will execute company and regional priorities at office levels, foster strong office cultures, ensure exceptional provider and client experiences, and drive operational excellence.
Responsibilities
- Set clear, state-specific performance goals for offices including monthly visit volumes, provider utilization, and front-of-house service metrics.
- Coach and manage Office Managers, linking recognition and performance measures to key area and state KPIs to promote accountability and improvement.
- Address escalated provider and staff concerns professionally, escalating complex issues when necessary.
- Provide senior leadership with data-driven insights and regional market trend recommendations.
- Contribute to strategic growth planning and translate these into actionable team objectives.
- Identify and mentor potential leaders for future roles within the company.
- Oversee daily multi-location operations ensuring efficiency and compliance with company standards.
- Maintain a performance scorecard tracking appointment volumes, cancellations, turnover, revenue, and other metrics per office and state.
- Analyze performance discrepancies and implement targeted solutions like staffing adjustments or process improvements.
- Set minimum performance standards and establish protocols for intervention when targets are unmet.
- Collaborate with finance and service leadership to forecast and track revenue and volume growth, proactively flagging risks and opportunities.
- Utilize data to allocate resources strategically and lead projects that enhance services and provider satisfaction.
- Foster employee engagement in change initiatives to promote continuous improvement and innovation.
- Act as a liaison between office operations and regional leadership, ensuring clear communication of priorities and performance updates.
Qualifications
- Minimum of 5 years in a leadership role, preferably managing multiple sites.
- At least 3 years supervising management-level staff.
- Bachelor's degree in Healthcare Administration, Business, Management, or a related field preferred but not mandatory.
- Proven experience in strategic planning and executing growth initiatives with measurable results.
- Strong leadership, communication, and interpersonal skills to motivate and guide teams.
- Ability to manage sensitive issues with professionalism and sound judgment.
- Project management experience coordinating timelines and stakeholders effectively.
- Analytical skills to interpret data trends and create actionable plans.
- Proficiency with Microsoft Office and related software.
- Willingness and ability to travel frequently within the assigned territories.
Compensation and Benefits
- Annual salary range: $75,000 to $85,000.

Additional Information
This role operates Monday to Friday, 8:30 AM to 5:30 PM. Frequent travel between Colorado, Nevada, Arizona, and Texas is required.
