Position Overview
The Spa Desk Agent is responsible for managing service scheduling for individuals and groups, utilizing spa and salon reservation software. This role includes confirming guest appointments, responding to inquiries about services, and handling updates or cancellations throughout the day. Collaboration with supervisors or managers is essential to resolve any scheduling conflicts.
Key Duties
- Schedule spa and salon services for guests and groups using the reservation system.
- Contact guests to confirm their bookings and provide information on available treatments.
- Monitor and update reservations and cancellations during operational hours.
- Communicate last-minute changes to service providers promptly.
- Check guests in on arrival, verifying their identity and offering an overview of spa services.
- Promote and upsell spa and salon offerings to enhance guest experiences.
- Manage assigned cash bank, ensuring accurate handling of contracted amounts and making change as necessary.
- Safeguard cash funds and process payments, obtaining proper authorizations.
- Receive and record employee tips in cash.
- Reconcile receipts, scan them, and deliver to the Accounting department.
- Alert Engineering to any maintenance or repair issues within the spa facilities.
- Report any accidents, injuries, or unsafe conditions to management immediately.
- Adhere strictly to company policies, including maintaining confidentiality and protecting assets.
- Maintain a professional appearance and assist guests with a welcoming attitude, including those with disabilities.
- Communicate clearly and courteously, including proper telephone etiquette.
- Develop positive working relationships with colleagues and comply with quality assurance standards.
- Perform physical tasks such as standing, sitting, walking for long durations and moving objects weighing up to 10 pounds.
- Carry out additional duties as assigned by supervisors.
Qualifications
- Minimum education: High school diploma or GED equivalent.
- Experience: Less than one year of related work experience preferred.
- No supervisory experience required.
- No licenses or certifications necessary.
