Role Overview
As a Purchasing Coordinator at Radisson's Prize brand, you will be responsible for managing procurement activities critical to smooth hotel operations. Your duties include processing purchase requisitions, coordinating daily purchases, sourcing vendor quotations, and maintaining supplier relations. You will collaborate closely with department heads to understand purchasing needs and ensure inventory levels are adequate.
Key Responsibilities
- Timely and accurate handling of purchase requisitions and orders.
- Coordinating daily procurement tasks to prevent operational disruptions.
- Sourcing quotes, negotiating with suppliers, and maintaining robust vendor relationships.
- Communicating with department leaders regarding purchasing requirements and inventory management.
- Tracking and following up on purchase orders and deliveries.
- Reviewing matching invoices and resolving discrepancies with suppliers and Finance.
- Updating procurement records and systems with current delivery information.
- Preparing detailed purchasing reports and maintaining thorough documentation.
- Supporting supplier evaluations and managing the approved supplier database.
- Ensuring adherence to purchasing policies, company procedures, and ethical standards.
- Collaborating across departments for operational and project-based purchasing needs.
- Identifying cost-saving opportunities to enhance purchasing efficiency and reduce waste.
- Upholding health, safety, hygiene, and compliance standards in the workplace.
- Carrying out additional tasks assigned by the Purchasing Manager.
Qualifications and Experience
- Bachelor's degree or Diploma in Supply Chain Management, Purchasing, Business Administration, Hospitality Management, or related discipline.
- A minimum of 2 years' experience in a Purchasing Coordinator role or equivalent, preferably within a 4- or 5-star hotel setting.
- Sound knowledge of hotel procurement processes, purchasing cycles, and vendor management.
- Experience working with hotel ERP or procurement software systems.
- Proficiency in Microsoft Office Suite, especially Excel.
- Strong organizational, analytical, and problem-solving capabilities.
- Excellent negotiation, verbal and written communication, and interpersonal skills.
- High accuracy and attention to detail combined with effective time management.
- Good understanding of inventory control, invoice reconciliation, and procurement documentation.
