Role Summary
As a Procurement Operations Analyst, you will oversee thorough management and tracking of purchase orders to ensure the smooth and timely delivery of goods and services. This role demands active communication with vendors and internal departments to resolve discrepancies and uphold procurement compliance aligned with company standards.
Key Responsibilities
- Monitor the progression of purchase orders to guarantee timely receipt of products and services.
- Follow up on shipments and collaborate with suppliers to mitigate delays or resolve issues.
- Coordinate with receiving units to verify delivery receipts and address any inconsistencies.
- Engage with vendors to verify their acceptance of purchase orders, confirm delivery timelines, and handle overdue cases.
- Work alongside Buyers to address discrepancies or delivery challenges effectively.
- Maintain strong vendor relationships to facilitate seamless transactions and prompt issue resolution.
- Review purchase requisitions to ensure they are complete, accurate, and comply with organizational policies.
- Create purchase orders based on requisitions from various Operating Unit Buyers while ensuring meticulous documentation and process adherence.
- Continuously update and improve the requisition and purchase order creation process to boost procurement effectiveness.
- Execute the defined scope of work aligned with client agreements, consistently meeting established SLA and KPI benchmarks.
- Maintain quality controls and service standards while driving continuous improvement initiatives within the procurement function.
- Analyze and resolve issues of lower complexity within day-to-day operations and escalate when necessary.
- Collaborate with peers and supervisors, occasionally interacting with clients and management, under moderate to detailed instructions.
- Adapt to rotational shift work as required.
Preferred Qualifications and Skills
- Graduation in any field is required; degree in Business Administration, Supply Chain Management, or related discipline is preferred.
- Between 3 to 5 years of relevant experience in procurement or purchase order management.
- Expertise in supply chain concepts and procurement best practices.
- Proficient in Microsoft Word, Excel, and ERP systems such as SAP or Oracle.
- Strong attention to detail and accuracy in data entry and documentation.
- Effective communication skills, both written and verbal, including ability to maintain relationships remotely without frequent face-to-face interactions.
- Excellent organizational, multitasking, and prioritization skills.
- Proactive, analytic, flexible, and able to work independently as well as collaboratively within a team.
- Capability to conduct formal presentations and adapt communication style to diverse corporate cultures.
