Role Overview
The Procurement and Logistics Specialist will support the procurement cycle for project operations. Working under the Procurement Manager, this role helps source goods and services locally and internationally, coordinates with multiple stakeholders, monitors contracts, confirms deliveries, and tracks vendor payments.
This is a temporary assignment expected to end on 17/11/2026.
Key Responsibilities
- Support customs clearance and tax waiver processing when required, under the guidance of the Procurement Manager.
- Maintain the procurement tracker so current and newly initiated purchases are visible and easy to follow.
- Monitor the procurement email inbox and organize RFP/RFQ submissions.
- Ensure procurement records are fully assembled and ready for audit once the buying process is completed.
- Gather product specifications or service scopes and confirm that they are clear, objective, and complete.
- Use the home office procurement checklist to verify that procurement files contain all required documents.
- Coordinate with the home office procurement team and back-stop support staff to secure approvals as needed.
- Record procurement transactions in QuickBooks and iProcure as directed.
- Stay informed about changes in US Government and Abt Global procurement policies and procedures.
- Keep detailed records of vendor communication and maintain complete procurement files.
- Work with the warehouse manager or technical lead to confirm that received goods match ordered quantity and quality, and report any discrepancies to the Procurement Manager before payment is made.
- Manage the project inventory control system during the IVC campaign for IRS and ITN commodities, including storage and inventory tracking.
- Maintain accurate records of malaria commodities held at the central warehouse.
- Oversee receipt and dispatch of goods to the provincial warehouse.
- Prepare and process paper or digital supply-chain documents for stock movement, and update stock cards to keep commodity counts accurate at the central warehouse.
- Supervise storage, distribution, and transport of commodities and equipment to the provincial warehouse.
- Help train warehouse managers, site supervisors, storekeepers, and other seasonal support staff on warehouse documentation practices.
Requirements
- Bachelor’s degree plus at least 2 years of relevant experience.
- Academic background in Logistics, Business, Management, Administration, or a related field.
- Prior exposure to USG-funded development programs is preferred.
- Knowledge of Federal and AID acquisition rules, including FAR and AIDAR, is an advantage.
- Procurement and supply management certification is preferred.
- Strong leadership, organization, computer, and writing abilities.
- Advanced Excel skills are especially important.
- Fluency in English is required.
