Role Overview

The Logistics Coordinator manages air import and export shipments by handling documentation, coordinating logistics, tracking shipments, monitoring cargo, and preparing quotations. Ensuring accuracy and compliance are critical parts of this position.

Key Responsibilities

• Create necessary import and export shipment documents such as Air Waybills; apply labels, shipping instructions, arrange insurance, and manage other shipping documents.
• Prepare import paperwork for brokerage departments or customers’ brokers; notify consignees or customers when freight arrives and coordinate delivery as needed.
• Organize pick-up and delivery schedules with trucking companies, airlines, and bonded warehouses to optimize shipment processing.
• Advise clients on transportation options and payment methods, issue freight bills and invoices to brokers or customers, and maintain accurate records and filing.
• Negotiate shipment rates to prepare quotations.
• Maintain timely and precise communication with customers at all stages.
• Comply with air cargo security regulations including the Air Cargo Security Program administered by Transport Canada and the Partners in Protection (PIP) program by Canada Border Services Agency.
• Carry out additional related duties as required.

Qualifications and Skills

• Two to five years of experience in freight forwarding or a similar logistics role.
• Excellent organizational capabilities and ability to manage time effectively.
• High attention to detail to ensure accuracy and compliance.
• Familiarity with international commerce concepts such as shipping terms, payment methods, purchasing, and customs regulations is advantageous.
• Knowledge of Good Distribution Practices (GDP) regulations.
• Strong typing and data entry proficiency.
• Ability to handle complex approval processes and communicate necessary information effectively to clients and stakeholders.
• Flexibility to work overtime when needed.
• Good verbal and written communication skills.
• Intermediate proficiency in Microsoft Word and Excel.

Education and Certifications

• Minimum of a college diploma or equivalent certification, or relevant practical experience.
• Certifications such as ATA/ICAO Dangerous Goods and Authorized Cargo Representative (ACR) are considered assets.
