Logistics Coordinator

About the Role

The Logistics Coordinator is responsible for ensuring timely delivery and installation of office pods and furniture throughout Europe. This role functions as the operational hub coordinating between customers, warehouses, manufacturers, freight carriers, and installation teams. The position requires proactive communication and problem-solving to keep multiple parties aligned under tight deadlines. Note this position focuses on operational logistics rather than strategic supply chain management or procurement.

Responsibilities

• Manage parcel, less-than-truckload (LTL), and full-truckload (FTL) transport operations across Europe including carrier bookings, freight coordination, and scheduling delivery time slots.
• Coordinate with stakeholders including customers, suppliers, warehouses, freight forwarders, and installation providers to facilitate smooth and punctual deliveries.
• Oversee packaging preparation and ensure appropriate labeling, markings, and shipping documentation are completed accurately.
• Handle claims related to damages, coordinate returns processes, investigate root causes, and process credit notes and replacement orders.
• Maintain master data in the ERP system covering products, suppliers, tariff classifications, Incoterms, and logistics-related data such as weights and dimensions.
• Drive continuous improvement by updating standard operating procedures (SOPs), templates, workflows, and seek automation opportunities through ERP and Google Sheets tools.

Candidate Profile

• Several years of experience in logistics, transport coordination, or freight forwarding roles.
• Preferably completed vocational training or degree in logistics, supply chain management, or related disciplines.
• Fluency in English is required; proficiency in German is a significant advantage.
• Additional European languages are considered a plus.
• Comfortable using ERP platforms such as Odoo or similar systems.
• Strong proficiency in Microsoft Office or Google Workspace, with a special emphasis on Google Sheets.
• Basic knowledge of business intelligence or reporting tools will be beneficial.
• Excellent organizational skills with a dependable and methodical approach.
• Pragmatic attitude with the capability to manage multiple shipments and stakeholders concurrently.
• Effective communication skills paired with a collaborative and team-oriented mindset.
