Role Overview
We are looking for a dedicated HR & Admin Assistant to support the Human Resources and Administration departments, ensuring smooth daily office operations and compliance with ADGM regulations. This role covers recruitment, onboarding, payroll coordination, visa processing, and employee engagement activities.
Key Responsibilities
- Ensure compliance with ADGM employment laws and company policies while safeguarding confidentiality of employee and organizational data.
- Assist with recruitment processes, from interview scheduling to candidate coordination.
- Handle onboarding and offboarding activities, preparing contracts, HR letters, and maintaining personnel files.
- Coordinate employment visa and work permit applications, supporting medical insurance enrolment and renewals.
- Contribute data for monthly payroll processing, including attendance and leave records.
- Manage employee attendance, leave tracking, and relevant HR documentation.
- Support employee engagement initiatives and organize team events.
- Conduct reception duties, manage visitors, coordinate meetings, and oversee office supplies and stationery inventory.
- Coordinate office access cards, visitor access, vendor relationships, and office-related purchases.
- Assist in maintaining filing systems, both physical and electronic, and collaborate with departments such as Finance, Compliance, IT, and Legal to address administrative and HR matters.
Qualifications & Experience
- Bachelor’s degree in Human Resources, Business Administration, or related field; alternatively, recognized HR certifications such as CIPD, SHRM, HRCI, CHRP, or CHRM with suitable experience.
- 1 to 2 years of professional experience in HR or administrative roles.
- Familiarity with UAE Labour Law; knowledge of ADGM employment regulations is a plus.
- Experience managing recruitment, onboarding, record keeping, and HR administrative tasks.
- Understanding of UAE employment visa and work permit procedures is preferred.
- Strong command of English communication skills; proficiency in Arabic is advantageous.
- Proficient in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook.
- Experience working with HRIS or other HR management systems is beneficial.
- Excellent organizational, multitasking, and problem-solving abilities with keen attention to detail.
- High level of professionalism and discretion in handling confidential information.
- Self-driven with ability to operate independently and collaboratively within team environments.
- Outstanding interpersonal skills to foster positive relationships across various departments.
