Overview

Our Private Wealth Management client is seeking a well-organized, proactive, and discreet Executive Assistant to support three senior leaders at their London SW1 office. This role involves providing comprehensive administrative and organizational assistance, enabling effective management of time, priorities, and communications for senior executives.

Key Responsibilities

  • Deliver thorough personal assistant services to three senior executives, efficiently handling both professional and personal commitments.
  • Coordinate complex schedules by managing diaries, resolving conflicts, prioritizing engagements, and collaborating with family members to align professional and personal calendars.
  • Oversee daily workload management by tracking critical tasks, deadlines, and follow-up activities to ensure progress.
  • Prepare, format, and refine presentations, management reports, client documents, meeting agendas, and correspondence to a high standard.
  • Gain an understanding of team priorities to facilitate smooth coordination across the organization.
  • Organize and manage meetings, including logistics, material preparation, minute-taking, action monitoring, and following up with stakeholders.
  • Administer executive inboxes by handling correspondence, responding when appropriate, filing, and prioritizing client-related emails promptly and professionally.
  • Maintain accurate confidential filing systems and correspondence in accordance with internal protocols.
  • Monitor and submit expense reports punctually while ensuring adherence to company policies such as the Gifts and Entertainment Policy.
  • Arrange travel, meals, events, and other business or personal engagements as needed.
  • Support executives with personal administrative tasks and correspondence, maintaining strict discretion and confidentiality.
  • Establish and nurture professional relationships across colleagues, clients, family contacts, and external parties, serving as a reliable and trusted liaison.

Qualifications and Experience

  • Minimum qualification equivalent to three A Levels (grades A–C).
  • At least two years' experience in an Executive Assistant or Personal Assistant role, preferably within the financial services sector.

  • Exceptional written and verbal communication abilities.
  • Strong organizational skills with the capability to handle multiple competing priorities effectively.
  • Proficient in Microsoft Office suite and other standard IT applications.
  • Meticulous attention to detail with high standards for document presentation.
