About the Position
The University of Texas at Dallas Student Union seeks an Event Coordinator to join its active Meeting and Event Planning team. This role involves supporting event coordination within the extensive Student Union facilities, encompassing approximately 644,000 square feet dedicated to meetings, events, and gatherings.
Key Responsibilities
- Plan and coordinate events across various Student Union locations including SU North, SU South, Comets LANding, SSB, SSA, Margaret McDermott Mall, and Chess Plaza.
- Act as a secondary contact for event-related communication and discussions.
- Conduct client meetings to review and finalize event specifics.
- Develop event setup layouts utilizing the Social Tables platform.
- Manage a wide variety of reservation requests using Mazevo, the Student Union's booking software, facilitating student organization and departmental events.
- Support external client service requests such as Media Services, Custodial Services, UTD Police, and Parking when necessary.
- Contribute to daily operations of the Meeting and Event Planning Office.
- Manage the Union Reservations email inbox and handle incoming calls as the primary contact point.
- Assist with updating and auditing procedural documents to maintain operational accuracy.
- Collaborate with operational staff to ensure event requirements are fully met.
- Be available to work during evenings and weekends as event schedules demand.
- Perform additional assigned duties as needed.
Required Qualifications and Skills
- Associate’s degree or equivalent education combined with experience.
- Minimum of one year of event-related experience in roles such as hosting, serving, or support crew.
- At least three years of proficiency using Microsoft Office applications, including Word, Excel, and Outlook.
- Understanding of customer service methods and techniques.
- Ability to provide event planning guidance to student organizations and campus partners.
- Experience fostering collaboration and building relationships across multiple departments and programs.
- Strong organizational abilities, attention to detail, and capability to handle several projects at one time.
- Excellent verbal and written communication proficiency.
