Role Overview

The Vital Growth team seeks a personable and highly organized Client Success Coordinator who will act as the initial point of contact for prospective clients and ensure each inquiry is thoroughly supported from first interaction through to finalized sale. The coordinator will manage inbound lead responses, schedule appointments for the sales team, follow up with leads yet to schedule, and oversee payment and paperwork completion. This role serves as the operational backbone of sales processes, maintaining impeccable CRM records and documentation to ensure smooth and accurate activity tracking.

Key Duties

  • Act as the frontline communicator for inbound leads through phone, email, and web inquiries; respond swiftly with warmth and professionalism.
  • Qualify and book appointments for the sales team directly within calendars.
  • Conduct outreach to leads who have not yet scheduled via calls, texts, and emails to secure appointments.
  • Send confirmations and reminders, manage rescheduling for no-shows, and promote high attendance rates.
  • Follow up post-sale to collect payments, handle paperwork, and ensure all agreements are fully completed.
  • Maintain detailed CRM logs capturing every lead, call, and appointment to keep the sales pipeline accurate and current.
  • Meet weekly targets concerning call volume, appointments set, show rates, and payment collections.
  • Create, update, and manage all sales-related documents including proposals, contracts, statements of work, NDAs, and order forms.
  • Manage the routing and e-signature completion of documents utilizing platforms like DocuSign.
  • Organize and maintain audit-ready filing systems across shared drives and CRM tools.
  • Track and follow up on document statuses proactively to advance deals smoothly.
  • Ensure all customer-facing materials are consistent, accurate, and aligned with brand standards.
  • Coordinate with legal, finance, and operations teams to comply with document compliance requirements.
  • Identify bottlenecks in document workflows and recommend improvements to streamline operations.
  • Keep CRM entries updated including contacts, accounts, opportunities, and activity logs.
  • Prepare reports, meeting content, and account summaries to support account managers.
  • Assist with onboarding of new customers through welcome communications, scheduling kickoff meetings, and managing intake paperwork.
  • Track renewals, alert about key milestones, and facilitate timely follow-ups.
  • Field inbound customer queries and direct them to relevant team members.
  • Provide ad hoc research, data extraction, and reporting assistance as required.

Qualifications

  • 2 to 4+ years of professional experience in sales support, administrative assistance, or operations coordination, preferably in a B2B setting.
  • Exceptional attention to detail with a knack for spotting errors and maintaining high standards.
  • Proficient with Google Workspace tools including Docs, Sheets, and Drive, or equivalent Microsoft Office applications.
  • Experienced user of CRM systems such as Salesforce, HubSpot, or comparable platforms, with the ability to quickly adopt new technologies.
  • Familiarity with electronic signature tools such as DocuSign or Adobe Sign.
  • Capable of managing multiple priorities simultaneously, maintaining calm under pressure and meeting deadlines.
  • Excellent verbal and written communication skills with professionalism and clarity.
  • Proactive work approach, anticipating needs and addressing issues without prompting.

Preferred Experience

  • Background in health, wellness, or dietary supplement industries.
  • Knowledge of contract lifecycle management (CLM) software.
  • Exposure to customer success or account management support roles.

Compensation & Benefits

  • Annual salary range from $58,000 to $65,000, depending on experience.
