Role Overview
Seeking a skilled Assistant Manager with a background in Mechanical, Electrical, and Plumbing (MEP) to oversee administrative functions and facility management across corporate and branch offices. This role ensures the smooth operation of office infrastructure, coordinates maintenance activities, manages vendors, and supervises expansion projects while ensuring compliance with safety standards.
Key Responsibilities
- Oversee daily administrative processes at corporate and branch locations, ensuring effective management of office infrastructure, utilities, furniture, and equipment.
- Manage maintenance operations for electrical, HVAC, plumbing, fire safety systems, DG sets, and UPS, coordinating preventive and corrective maintenance to reduce downtime.
- Supervise new branch setups, including coordination of civil work, electrical installations, networking, furniture, and branding, monitoring project timelines to meet operational deadlines.
- Identify, onboard, and evaluate vendors; negotiate contracts and pricing; ensure renewal of annual maintenance contracts (AMCs) and service level agreements.
- Handle procurement of office supplies, electrical items, furniture, and facility materials; maintain accurate inventory records and optimize costs while ensuring quality.
- Prepare and monitor budgets related to administration and facility expenses, track vendor invoices, and collaborate with Finance for timely payments.
- Ensure statutory compliance for facilities, conduct safety inspections, verify operational fire safety equipment, and coordinate audits.
- Maintain comprehensive asset registers, monitor asset allocation, manage repairs and disposals, and perform periodic physical verification.
- Supervise housekeeping and security teams to uphold office cleanliness, hygiene, and safety standards; promptly address facility-related grievances.
- Lead the administration team by assigning responsibilities, monitoring performance, and coordinating with HR, IT, Finance, Projects, and Operations departments.
- Prepare management information system (MIS) reports on administration, maintenance, and projects; maintain records of AMCs, vendor contracts, and compliance documentation; report monthly to senior management.
Required Skills and Competencies
- Expertise in facility management including administration, MEP operations, and maintenance across multi-location setups.
- Proficient in vendor management, procurement, cost control, and inventory and asset management.
- Strong knowledge of branch setup and expansion processes.
- Capability in project coordination, budgeting, contract negotiations, and compliance management.
- Technically skilled in electrical, civil maintenance, HVAC systems, fire safety compliance, and AMC management.
- Experienced in MIS reporting, team leadership, problem solving, time management, and adept with Microsoft Excel and ERP software.
- Effective communication skills, with Kannada language proficiency preferred for local coordination.
Educational & Experience Qualifications
Bachelor’s degree in Mechanical, Electrical, Civil Engineering, or Facilities Management is required. An MBA or PGDM is advantageous. Candidates should have 5–8 years of experience in administration and facility management, particularly with multi-location offices or retail branches, and substantial MEP project and maintenance background.
