About the Role
The Administration Manager will oversee all administrative functions within a manufacturing plant environment to ensure smooth, efficient, and cost-effective facility management. This role covers key areas such as statutory compliance, vendor relations, security, housekeeping, transport, canteen operations, and general office management, all aimed at maintaining a safe and productive workplace.
Key Responsibilities
- Supervise daily administrative operations for both the plant and corporate office, including management of infrastructure, utilities, office assets, and inventory.
- Manage facility services such as housekeeping, security, landscaping, pest control, and routine maintenance; coordinate building repairs and preventive upkeep for electrical, plumbing, HVAC, and DG sets.
- Identify, negotiate with, and oversee vendors and contractors, including handling Annual Maintenance Contracts and ensuring quality service delivery while processing invoices.
- Oversee security functions by supervising security personnel, enforcing security protocols, managing visitor access, and monitoring CCTV systems; investigate security incidents and propose corrective actions.
- Handle transport and fleet operations, including scheduling drivers, vehicle upkeep, insurance, permits, fuel management, and organizing transportation for employees and visitors.
- Monitor canteen services, ensuring food quality, hygiene standards, and addressing employee feedback on food services.
- Ensure compliance with all relevant statutory regulations including the Factories Act and labour laws, maintain required records and licenses, and assist in audits and government inspections.
- Prepare and review administrative budgets, control operational expenditures, and initiate cost-saving measures without sacrificing service efficiency.
- Provide employee support by coordinating accommodation, guest house management, travel and hotel bookings, employee welfare, and supporting HR with company events and engagement programs.
Candidate Profile and Requirements
- Possess a Bachelor's degree in Business Administration, Management, or a related discipline; an MBA or PGDM is preferred.
- Bring 5 to 10 years of relevant experience, ideally in administration or facility management within a manufacturing setting.
- Demonstrate strong leadership and team management capabilities, along with skills in vendor negotiation and contract management.
- Proficient in facility and infrastructure management, budgeting, cost control, and thorough knowledge of statutory and labour law compliance.
- Exhibit excellent communication, interpersonal, problem-solving, and decision-making skills.
- Competent in Microsoft Office Suite, including Excel, Word, and PowerPoint.
