Job description
Position Overview
We are seeking a Workplace Coordinator to support the daily workplace operations at a global financial services company based in Wellington, New Zealand. This part-time contract role will commence in September 2026 and focuses on delivering an exceptional front-of-house and employee experience while ensuring workplace safety and security.
Key Responsibilities
- Provide a professional welcome to visitors as the first point of contact.
- Prepare workstations and meeting rooms before employee and guest arrival.
- Conduct weekly inspections to identify any maintenance, safety, or presentation issues on-site.
- Set up and reset meeting spaces; coordinate catering for meetings and special events.
- Handle mail, courier services, and outgoing shipments efficiently.
- Manage stationery and pantry inventory, including placing orders as necessary.
- Coordinate with external vendors such as cleaners, contractors, and building management.
- Assist with workplace projects, purchase orders, and various administrative tasks.
- Maintain cleanliness and restock kitchens, breakout areas, and shared common spaces.
- Support employee engagement activities, workplace celebrations, and activation events.
- Contribute to fostering a welcoming and inclusive workplace culture.
- Oversee office access control and security monitoring.
- Serve as the First Aid Officer and Fire Warden, with training provided.
- Report workplace hazards and prepare for emergency situations.
- Manage the overall daily workplace experience for staff and visitors.
- Develop strong relationships with colleagues, vendors, and building management teams.
- Continuously identify improvements to hospitality services and workplace efficiency.
- Provide flexible assistance as required across workplace operations.
Requirements
