About the Role
We are looking for a meticulous and experienced Travel Administrator to manage comprehensive global travel logistics for an ultra high net worth individual (UHNWI) private family. The chosen candidate will coordinate luxury and complex travel arrangements with utmost discretion, flexibility, and precision.
Responsibilities
- Plan, organize, and implement travel plans for the principal, family members, and guests.
- Handle bookings for private jets and commercial flights including first and business class.
- Secure high-end accommodations such as villas, hotels, and serviced residences.
- Arrange ground transportation, security details, and concierge services at all destinations.
- Create detailed daily travel schedules including backup plans.
- Communicate effectively with personal assistants, house managers, security teams, and third-party providers.
- Ensure all necessary travel documents such as visas, passports, and permits are current and valid.
- Monitor and respond promptly to any travel disruptions, adjusting plans as needed in real time.
- Maintain strong relationships with luxury travel providers and negotiate favorable rates.
- Manage travel expense budgets, perform reporting, and track expenditures.
- Coordinate travel logistics for large groups and special events.
- Guarantee privacy, confidentiality, and flawless execution throughout all travel arrangements.
Requirements
- Demonstrated experience organizing travel for UHNWI, VIPs, or high-profile clients.
- Established connections in luxury travel, aviation, and hospitality industries.
- Expert knowledge of private aviation operations.
- Strong organizational skills with capability to multitask.
- Able to perform under pressure and adjust rapidly to last-minute changes.
- High degree of discretion and confidentiality.
- Competent in travel booking platforms and itinerary management software.
- Capacity to work irregular hours and be available on-call if necessary.
- Excellent negotiation and communication skills.
- Multilingual proficiency is a plus.
Preferred Experience
- Prior involvement in private households, family offices, or luxury concierge services.
- Experience managing travel across multiple time zones and legal jurisdictions.
- Knowledge of visa requirements for highly mobile clients.
