Position Overview
The Supply Chain Operations Specialist plays a vital role in coordinating procurement, inventory, equipment management, and logistics to support RMI's global operations. This position serves as the central point of contact linking Operations, Finance, suppliers, logistics partners, IT, and field personnel to ensure efficient, accurate, and cost-effective sourcing, tracking, deployment, and management of medical supplies, operational equipment, and business assets.
Key Responsibilities
- Manage procurement processes for medical supplies, operational gear, IT assets, and consumables company-wide.
- Oversee supplier relationships, including sourcing, onboarding, quotations, purchase orders, and monitoring delivery performance to ensure quality, cost-efficiency, and supply continuity.
- Identify opportunities for cost reduction, service enhancements, and mitigate supply chain risks.
- Handle domestic and international purchasing to support projects in remote and demanding environments.
- Interface with Finance to ensure accurate processing of purchase orders, goods receipts, supplier invoices, and inventory records within accounting software (Sage Intacct).
- Investigate and resolve discrepancies involving invoices, stock, and procurement with suppliers and internal teams.
- Support monthly reporting by providing accurate inventory valuations, stock reconciliations, asset records, and supplier expenditure analysis.
- Maintain comprehensive documentation, audit trails, and ensure compliance with purchasing controls and corporate policies.
- Maintain precise stock records, inventory systems, and asset registries across all projects.
- Manage equipment lifecycle including procurement, deployment, maintenance, calibration, tracking, redeployment, and disposal.
- Conduct regular stock counts, reconciliations, and audits, taking corrective measures as needed.
- Ensure that operational and medical equipment complies with standards, is serviceable, and ready for deployment.
- Coordinate procurement, allocation, shipment, recovery, and redeployment of IT assets such as laptops, tablets, and mobile devices.
- Maintain accurate IT asset records and accountability for company property.
- Collaborate with IT and Operations teams to forecast requirements and assist with onboarding, mobilization, and demobilization activities.
- Manage global logistics for movement of equipment, medical supplies, and operational materials.
- Develop practical and cost-efficient logistics strategies for remote, offshore, and challenging locations.
- Act as a key contact for field and operational teams for equipment, inventory, and supply chain inquiries.
- Coordinate mobilization, demobilization, and shipment activities to ensure timeliness and accuracy.
Essential Qualifications and Skills
- Familiarity with relevant laws and regulatory requirements, including MHRA standards.
- Experience with purchase order processing, stock management, and warehouse systems is preferred.
- Proficient in Microsoft Excel, Word, and PowerPoint; advanced skills are advantageous.
- Ability to interpret technical documentation related to medications and medical equipment.
- Strong communication skills in English, both verbal and written.
- Capable of communicating effectively at all organizational levels, including senior management.
Experience
- Previous experience in a supply chain role, ideally within a medical supplies setting.
- Knowledge of Good Distribution Practice is preferred.
- Experience with international purchasing and multi-site operations is advantageous.
Work Environment and Conditions
The role is based in a typical office setting in Southampton with standard business equipment and moderate noise levels. Job functions involve prolonged periods of sitting, frequent use of hands and fingers, and close interaction within groups.
