Shutdown Material Administrator

Position Overview

The Shutdown Material Administrator ensures effective planning, coordination, and control of materials and equipment spares for all offshore assets, supporting both operations and maintenance activities. The role is pivotal in ensuring timely availability of necessary resources, especially for scheduled shutdowns and maintenance events, and demands strong organizational skills to handle queries and urgent requests within strict timelines.

Main Duties

• Oversee material administration and inventory management to support offshore operational and maintenance requirements.
• Facilitate communication across various offshore units, handling requests that may have overlapping demands and time constraints.
• Accelerate materials sourcing according to company procedures, often within tight deadlines and with priority conflicts.
• Guarantee prompt availability of materials and spares for planned activities, ensuring everything is in place ahead of scheduled shutdowns or maintenance periods.
• Support and ensure adherence to all company Safety, Health, Environment, and Quality (SHEQ) standards.
• Contribute to knowledge transfer and development of Qatari personnel as part of the organization's Qatarization initiative, which is a contractual obligation for expatriate staff.

Key Accountabilities

• Maintain and update material and spare parts records, generating internal and external reports as required.
• Plan and create reservations for stock items and direct material requisitions in anticipation of shutdowns and smaller projects, ensuring timely procurement and delivery.
• Develop comprehensive shutdown plans, including meeting documentation and resource tracking, and compile post-shutdown lessons learned and improvement reports.
• Participate in supply team meetings to monitor and update the movement of offshore materials, and represent the maintenance function in interdepartmental and contractor meetings regarding materials issues.
• Apply technical understanding of products and manufacturing procedures to ascertain required material quantities, ensuring correct ordering specifications and compliance with company standards.
• Manage internal distribution of materials to align with production schedules, and coordinate with engineering on material quality assurance and control processes.
• Audit vendor documentation to ensure compliance with company standards and manage follow-up actions when necessary.
• Lead the resolution of material discrepancies to maintain maintenance schedules effectively.
• Coordinate the testing and turnaround of valves, and organize logistics for the mobilization of shutdown-related materials, tools, and equipment.
• Regularly review backlog work orders for material requirements and ensure timely allocation for task completion.

Required Qualifications

• Higher National Diploma (HND) in an Operations-related discipline.

Experience and Skills

• At least five years of relevant experience in maintenance or operations, ideally within the oil and gas sector and particularly in maintenance planning roles.
• Proficiency in both written and spoken English.
• Advanced skills in the use of Microsoft Office, MS Project, SAP, and familiarity with Technical Document Management Systems such as TDMS Fusion.
• Demonstrated ability to perform efficiently under pressure.
