Job Overview
The Senior Office Administrator will be responsible for overseeing the daily administrative activities within the office and managing the entire Accounts Payable cycle. This position suits an individual who excels at organizing and maintaining accuracy in invoice processing and vendor compliance to ensure smooth operational workflows.
Key Duties and Responsibilities
- Oversee the full Accounts Payable workflow from invoice receipt to payment for both operational and construction-stage properties.
- Validate invoice accuracy and correct accounting codes.
- Ensure prompt invoice entry and payment processing.
- Manage collection and tracking of Certificates of Insurance (COIs).
- Maintain up-to-date W-9 documentation for all vendors.
- Provide assistance in human resources and manage various account-related tasks.
- Organize and update both physical and electronic filing systems.
- Perform clerical data entry and manage office calendars.
- Serve as the main point of administrative support within the office.
- Answer telephone calls and professionally welcome visitors.
- Scan, file, and organize documents physically and digitally.
- Handle incoming and outgoing mail processes.
- Oversee office supply orders and maintain office organization standards.
- Support leadership with various administrative projects and special assignments.
- Assist with data entry and upkeep of company records.
- Carry out general office duties as required.
- Run occasional errands such as bank deposits.
Candidate Profile and Skills
- Possess more than 4 years of experience in administrative roles and/or Accounts Payable functions.
- Deep understanding of the full Accounts Payable process.
- Highly organized with keen attention to detail.
- Capable of handling multiple priorities and meeting strict deadlines.
- Strong proficiency in written and verbal communication.
- Experienced with Microsoft Office suite, especially Excel and Outlook.
- Familiarity with accounting or ERP software is advantageous.
- Able to work both independently and collaboratively within a team environment.
