Role Overview

We are seeking a Recruiting Operations Coordinator to help develop a premier recruitment engine during our growth phase. This role goes beyond coordination and scheduling: you will manage and enhance the systems and processes that keep our recruiting team streamlined and efficient, contributing to process improvements over time. You will build scalable documentation, tooling, and procedures rather than merely executing existing ones.

Key Responsibilities

• Ensure data integrity by maintaining and auditing our applicant tracking system (ATS - Ashby) and recruiting tools regularly.
• Monitor completion of interview feedback and follow up to meet service-level agreements.
• Keep recruitment documents and communication channels such as Slack updated.
• Analyze recruiting metrics including time-to-fill, interview-to-offer ratios, and source effectiveness to provide data-driven insights and recommendations.
• Identify gaps in recruitment processes and suggest actionable improvements.
• Support broader recruiting strategies, including employer branding and onboarding enhancements.
• Manage end-to-end interview scheduling for candidates, hiring managers, and interviewers, resolving conflicts and logistics efficiently.
• Coordinate a high volume of interviews across multiple time zones and stakeholders while maintaining exceptional candidate experience.
• Handle all interview logistics, such as travel, expense reimbursement, room setups, and technical support.
• Act as the main point of contact for candidates from screening through offer, ensuring warm, professional, and timely communication.
• Anticipate scheduling conflicts by monitoring interviewer availability and maintaining hiring momentum.
• Use Ashby’s scheduling tools to automate tasks and reduce manual efforts.

Candidate Profile

• Based in San Francisco and available for full-time onsite work, 5 days per week.
• Experienced with Ashby ATS and strong skills in maintaining data hygiene and generating pipeline reports.
• Minimum 2 years’ experience as a Recruiting Coordinator or related position, ideally in tech startups or SaaS companies.
• Able to operate independently in fast-paced, dynamic, and ambiguous environments with shifting priorities.
• Excellent interpersonal skills, capable of building trust quickly with various stakeholders.
• Highly organized and detail-focused, adept at managing multiple recruitment processes simultaneously without errors.
• Proactive and reliable mindset, anticipating needs and taking initiative to ensure seamless operations without needing supervision.

Compensation

Salary range: $110,000 to $150,000 annually, plus equity and a comprehensive benefits package.
