Role Overview
We seek a driven and organized Project Coordinator to assist with business improvement and operational projects across various departments. This position suits candidates early in their project management careers who are comfortable owning project execution and working collaboratively with cross-functional teams. You'll support the Project Manager by scheduling meetings, tracking project milestones, documenting requirements, and facilitating smooth progress throughout project lifecycles.
Responsibilities
- Coordinate internal initiatives focused on business improvement and operations from start to finish.
- Organize and lead project meetings, workshops, and stakeholder dialogues.
- Create and distribute agendas, record meeting minutes, and follow up on action points.
- Ensure deliverables remain on schedule by proactively engaging stakeholders and tracking progress.
- Maintain accountability by clearly defining ownership, tracking milestones, and outlining next steps.
- Identify and escalate risks, blockers, or timeline delays to the Project Manager promptly.
- Collaborate with stakeholders to understand processes, pain points, and objectives for projects.
- Gather requirements and translate them into detailed documentation such as user stories, process maps, and workflows.
- Identify opportunities to enhance efficiency and reduce manual tasks within business operations.
- Bring clarity to complex challenges by structuring information and developing actionable project plans.
- Assist in business case preparation, project planning, and deployment tasks as needed.
- Maintain project artifacts including plans, timelines, backlogs, status reports, and documentation using tools like Jira, Asana, or comparable platforms.
- Support user acceptance testing, training coordination, implementation, and post-launch reviews.
- Contribute to process documentation efforts and continuous improvement projects.
- Deliver updates to stakeholders covering progress, risks, and key decisions.
- Work closely with teams across Engineering, Operations, Manufacturing, Sales, Finance, HR, Marketing, and other departments to maintain alignment and momentum.
- Facilitate change management by assisting adoption of new systems, workflows, and processes.

Qualifications
- At least two years’ experience supporting projects in roles like Project Coordinator, Business Coordinator, or Operations Coordinator.
- Diploma or bachelor’s degree in Business, Management, Project Management, or related discipline.
- Strong business insight to translate operational needs into structured project plans.
- Proven ability to coordinate projects involving multiple stakeholders and departments.
- Excellent organizational, planning, and time management skills.
- Strong written and oral communication abilities.
- Competence managing competing priorities with attention to detail.
- Confident in stakeholder coordination and maintaining project accountability.
- Experience using project management software platforms such as Jira, Asana, or Monday.com.
- Proficiency with Microsoft 365 tools including Excel, Word, PowerPoint, Teams, and Outlook.
- Advantageous if familiar with Microsoft SharePoint, business transformation initiatives, writing business requirements, workflows, Agile/Scrum/Lean methodologies, or holding CAPM certification.

Compensation
The salary range is between $70,000 and $80,000 annually, dependent on experience.
