Role Overview
We are seeking a meticulous Project Coordinator to assist in the organization, planning, execution, tracking, and reporting of multiple projects. The role involves collaboration with project managers, stakeholders, and diverse teams to ensure all project milestones are met on time, and communication flows seamlessly throughout the project lifecycle. Candidates should possess strong coordination capabilities and advanced skills in Microsoft Excel and PowerPoint.
Key Responsibilities
- Assist project managers with project planning, scheduling, and activity coordination.
- Monitor project timelines, deliverables, risks, dependencies, and overall progress.
- Compile and produce detailed status reports, dashboards, and maintain project documentation including meeting minutes.
- Use Microsoft Excel to update project plans, trackers, and generate MIS reports.
- Develop polished presentations and updates for stakeholders using PowerPoint.
- Facilitate communication between internal teams and external partners to guarantee completion of assigned tasks.
- Identify obstacles and bottlenecks, escalating issues as appropriate.
- Organize meetings, ensure follow-ups on action items, and close outstanding tasks.
- Maintain rigorous records of all project communications and documentation.
- Support resource management, data analysis, and comprehensive project reporting.
- Enforce adherence to project governance and procedural standards.
Qualifications and Experience
- Bachelor’s degree in Business Administration, Management, Commerce, or related discipline.
- Previous experience as a Project Coordinator, PMO Coordinator, or in a similar capacity.
- Advanced Microsoft Excel skills, including pivot tables, VLOOKUP/XLOOKUP, data analysis, and dashboard reporting.
- Proficiency in Microsoft PowerPoint for crafting executive-level presentations.
- Sound knowledge of project coordination practices and reporting techniques.
- Strong organizational abilities and capability to manage various tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Capacity to work collaboratively with cross-functional teams while prioritizing multiple demands.
- Detail-oriented, with adept problem-solving skills.
Preferred Skills
- Familiarity with project management software such as MS Project, Jira, Asana, Trello, or Smartsheet.
- Knowledge of PMO standards and project governance frameworks.
- Experience in producing MIS reports and executive summaries.
- Project management certification or relevant training is advantageous.

Salary Information
The annual salary range for this position in Toronto, ON, is CAD 70,000 to CAD 75,000, subject to applicable laws and factors alongside benefits.
