Role Overview

The Program Operations Associate is a multifunctional role dedicated to supporting the Program team’s administrative and operational activities. This position focuses on enhancing coordination across multiple areas including AmeriCorps and Department of Labor contracts, network engagement, grants management, and organization-wide convenings and events. The associate ensures teams remain organized, deadlines are consistently met, and events execute seamlessly. This role supports various program facets such as DOL Program Impact, AmeriCorps, and Network Engagement teams and reports to the Chief Program Officer.

Key Responsibilities

  • Deliver daily administrative and coordination support to program departments across DOL Program Impact, AmeriCorps, and Network Engagement.
  • Monitor project deliverables, timelines, and milestones; ensure follow-through on deadlines for program leads.

  • Maintain accurate documentation, trackers, shared tools, and files to promote efficient program management.

  • Support onboarding processes, enhance internal communications, and improve cross-team procedures.

  • Manage shared systems such as Microsoft 365 and other tracking platforms to support documentation and team coordination.

  • Coordinate logistics for in-person, hybrid, and virtual convenings, trainings, and events, including scheduling, vendor management, communications, and materials preparation.
  • Develop meeting run-of-show documents and assist in event execution, participation tracking, and post-event follow-up.
  • Use AI tools thoughtfully and ethically in line with organizational policies, ensuring accuracy and confidentiality in AI-derived content.
  • Document and share best practices for AI tool utilization to enhance efficiency and collaboration.

Qualifications

  • Minimum 2-3 years of experience in operations, program coordination, administration, or support in a dynamic, multi-team environment.
