Job Summary

This role initially requires on-site training at the corporate office in Warwick, RI, after which it transitions to a remote position upon successful completion of training and management approval. The Patient Scheduler operates under the guidance of the Patient Access Manager, following established protocols to manage appointment scheduling and related communications for all RIMI locations.

Schedule

  • Monday through Friday, 9:00 AM to 5:30 PM

Key Responsibilities

  • Promptly and courteously handle phone calls for scheduling patient exams and responding to inquiries, delivering exceptional customer service.
  • Apply knowledge of insurance pre-authorization requirements and adhere to RIMI scheduling policies.
  • Accurately collect patient demographic and insurance information during appointment scheduling.
  • Scan and forward authorizations; collaborate with Authorization staff as needed.
  • Communicate effectively with Radiologists, referring physicians, and internal departments to facilitate smooth operations.
  • Ensure accurate completion of scheduling, patient accounts, insurance, and billing records with correct identification and statistical data.
  • Reach out to patients to resolve any unclear or missing information.
  • Assist other team members beyond primary duties as necessary to support operational needs.
  • Conduct patient satisfaction calls on selected cases as directed.
  • Maintain strict compliance with HIPAA and all federal/state regulations during all interactions.
  • Remain available for shifts as scheduled and flexible to cover staffing needs.
  • Operate related equipment properly and report any operational issues to supervisors immediately.
  • Report any concerns involving referring offices, patients, or self to supervisors immediately.
  • Engage in training programs as assigned to meet departmental requirements.
  • Perform additional administrative or operational tasks assigned to support the team.

Required Knowledge and Skills

  • Understanding of health insurance processes concerning pre-authorization, eligibility, and patient financial responsibilities.
  • Strong interpersonal skills to effectively interact with patients experiencing physical or emotional stress, medical professionals, and colleagues.
  • Organizational and analytical abilities for data interpretation and management.
  • Basic computer proficiency.

Experience and Education

  • Preferred experience includes prior medical office and patient scheduling roles.
  • Minimum education requirement is a high school diploma or equivalent.

Physical Requirements

The position necessitates prolonged periods of sitting and standing at a workstation and computer use. Candidates must be capable of performing essential job duties without restrictions and able to lift up to 15 pounds. Reasonable accommodations will be provided as needed.
