About the Role
Aligned Data Centers is searching for an organized and customer-oriented Onboarding Specialist to ensure a smooth and impactful onboarding journey for new employees across corporate and data center teams. This position is vital for setting up employees for success from the start while upholding rigorous compliance standards in a highly regulated environment.
Key Responsibilities
- Handle the complete onboarding lifecycle for new hires across various locations including critical data center sites.
- Manage pre-boarding tasks such as following up on offer acceptance, collecting necessary documents, and preparing for the first day.
- Ensure accurate completion of onboarding procedures in HRIS systems, adhering to compliance requirements.
- Act as the main contact for new employees throughout their onboarding process.
- Collaborate with IT, Security, and Facilities to guarantee timely provisioning of equipment, access, and badges for corporate and data center staff.
- Work closely with leadership to align onboarding with operational, safety, and compliance needs.
- Coordinate site-specific onboarding elements including safety trainings and operational guidelines.
- Administer customer-specific compliance initiatives, ensuring contractual and eligibility standards are met.
- Oversee background screening and manage external compliance platforms and vendor interactions.
- Handle credentialing processes such as background checks, badging, confidentiality agreements, certifications, and access approvals.
- Serve as liaison among internal teams, compliance vendors, and customers for personnel compliance matters.
- Maintain detailed compliance records and monitor upcoming expiration, renewals, and recertifications.
- Manage regular employee re-screenings including biannual background checks and other mandated reviews.
- Identify and escalate compliance issues while preserving confidentiality and data privacy.
- Support audits, compliance checks, and requests for qualification documentation from customers.
- Organize annual company compliance audits ensuring certifications like ISO, SOC, PCI, and HIPAA are current.
- Maintain audit documentation and compliance reports to uphold internal and external readiness.
- Continuously assess onboarding and compliance programs to enhance efficiency and employee experience.
- Utilize data and feedback such as new hire surveys and compliance metrics to identify improvement opportunities.
- Assist in designing scalable frameworks to support growth in onboarding and compliance operations.
Qualifications
- Minimum 3 years’ experience in HR, onboarding, compliance administration, credentialing, or related fields.
- Preferred experience with background screening programs, contractor credentialing, and regulated workforce compliance.
- Excellent attention to detail with the ability to handle confidential information securely.
- Familiarity with HRIS software, notably Workday and ADP.
- Experience supporting audits, compliance reporting, and records management favored.
- Strong communication and stakeholder engagement skills to coordinate across multiple departments and external entities.
