Job Summary
The Document Control Manager will be instrumental in establishing and managing document management systems critical to the success of projects and programs. This role involves implementing policies, developing tools, conducting training, and guiding teams to effectively manage documents throughout all project phases. Collaboration across departments is essential to facilitate smooth information flow and project coordination.
Key Responsibilities
- Develop, implement, and maintain efficient document control systems, policies, and procedures to ensure compliance.
- Oversee document lifecycle management, including creation, review, approval, storage, retrieval, and eventual archiving or disposal.
- Establish standards for categorizing, indexing, and maintaining both physical and electronic documents through Document Management Systems.
- Ensure compliance with regulatory requirements while safeguarding confidentiality and data security.
- Provide support and training to teams regarding document management practices and tools.
- Regularly audit document processes to guarantee quality, accuracy, and availability, while suggesting improvements.
- Respond promptly to document retrieval requests.
Qualifications and Requirements
- Bachelor’s degree or above in Information Management, Archives, Computer Science, Information Technology, or closely related disciplines.
- A minimum of three years practical experience managing documents, ideally within data center environments or large-scale IT projects.
- Proficiency with document management platforms such as SharePoint and Documentum, alongside strong skills in Microsoft Office applications.
- Highly detail-oriented and well-organized to maintain precise document control.
- Knowledge of Mandarin language is a plus.
