About the Role

The Major Events Operations Manager will report directly to the Director of Major Event Operations and play a key role in managing and executing various types of events. This individual will oversee client operational needs throughout the event lifecycle, acting as the primary operational liaison and leading internal and client meetings. They will independently resolve issues and make critical decisions timely, representing the company professionally and building strong client relationships.

Key Responsibilities

  • Support and manage all facets of major event operations including scheduling, vendor hiring, marketing approvals, and contract reviews across a diverse client base.
  • Act as the operational representative for assigned agent desks, transforming bookings into actionable event plans.
  • Coordinate with vendors for production, staging, catering, staffing, fencing, power, and other logistics to ensure all documentation and onsite requirements are met.
  • Create, publish, and negotiate Requests for Proposals (RFPs) or Quotes (RFQs) for vendors and essential event services.
  • Ensure adherence to insurance, health, legal, and safety regulations.
  • Travel when needed to provide onsite logistical support, attend meetings, pre-site visits, or relevant conferences.
  • Manage high volumes of both inbound and outbound communications through calls, emails, and other channels.
  • Develop and implement Standard Operating Procedures (SOPs) for event communications and project management.
  • Participate actively in regular staff and departmental meetings as well as client and sales meetings as required.
  • Use company technologies such as CRMs, project management tools, communication platforms, AI tools, and others as adopted.
  • Perform general office and administrative duties as necessary.
  • Carry out additional duties as assigned.

Minimum Qualifications

  • At least two years of professional experience in live event management, including onsite logistical support, event advances, production logistics, and hospitality for artists and vendors.
  • Outgoing, organized, process-driven, and excellent interpersonal communication skills.
  • Ability to multitask efficiently while maintaining meticulous attention to detail and strong time management.
  • Proven ability to troubleshoot and solve problems effectively in high-pressure situations.
  • Capacity to independently manage client relationships as the main operational contact, leading meetings and representing the organization.
  • Comfortable with internet platforms, social media, video conferencing tools (Zoom, Teams), and Microsoft Office/365.
  • Must be able to pass an FBI NCIC background check.
  • Valid and current Real ID or U.S. Passport required.
  • Current U.S. driver’s license and ability to travel independently.
  • Physical capability to support live event requirements, including working in indoor/outdoor environments and varying climates.

Preferred Qualifications

  • Experience within the entertainment industry including music, speakers, comedians, etc.
  • Familiarity with higher education institutions such as colleges and universities.
  • Experience with budgeting and profit and loss statements.
  • Technical skills with SharePoint, ClickUp, and Salesforce systems.
