Role Overview

This fully remote, full-time role is ideal for candidates who excel in dynamic, high-volume settings and can independently handle operational and administrative duties with precision. The position supports various departments including Operations, Billing, and Customer Communications. Working hours are 6:00 AM to 2:00 PM Pacific Standard Time (9:00 AM to 6:00 PM Eastern Standard Time).

Key Duties

• Perform and oversee administrative duties across departments ensuring timely completion of all requests.
• Manage accurate data entry and keep CRM and internal systems up to date.
• Respond professionally to customer and internal queries through email and chat promptly.
• Coordinate scheduling, follow-ups, and maintain well-organized documentation to facilitate smooth operations.
• Keep customer records, files, and notes systematically arranged and easily accessible.
• Create clear, error-free customer-facing documents and reports.
• Detect potential bottlenecks or delays and raise issues to the relevant coordinator.
• Handle other related responsibilities as required.

Candidate Requirements

• Proficiency in English (C1/C2 level) and Spanish.
• 2 to 5 years experience in operations, administrative assistance, or customer service roles.
• Ability to work independently with minimal supervision, managing multiple tasks confidently.
• Capable of making informed minor decisions and adapting to evolving or partially documented workflows.
• Familiarity with project management platforms such as Asana, Notion, or Trello is advantageous.
• Strong skills in Google Workspace and Microsoft Office applications.
• Excellent communication and problem-solving capabilities.
• Reliable remote work setup including a quiet home office, stable internet connection (minimum 10 Mbps download/2 Mbps upload), and a backup internet source.
• Bachelor’s or Associate’s degree is preferred.
