Overview

The Inventory Officer role is dedicated to maintaining optimal stock levels to support project needs, minimizing risks of overstock, shortages, and waste. This position involves tracking stock movements with Zoho software, conducting physical inventories, preparing delivery documentation, and ensuring accurate financial records for all inventory transactions, which are crucial for project timelines, financial accuracy, and audits.

Key Duties

  • Oversee stock management from receipt through storage, dispatch, and disposal while alerting relevant teams to potential risks in upcoming project installations.
  • Perform regular reconciliations between physical inventory and Zoho system records, addressing discrepancies promptly.
  • Create and maintain delivery notes and documentation for all inventory-related movements.
  • Log all transactions such as purchases, stock adjustments, write-offs, and transfers to preserve accurate financial accounting.
  • Conduct routine stock risk evaluations and internal audits, establishing controls to minimize losses and errors.
  • Contribute to enhancing inventory processes through automation initiatives and standardization of documentation.
  • Generate detailed reports on inventory costs, variances, and profitability for project management and leadership insight.
  • Coordinate closely with project leads to confirm material and equipment availability and resolve inventory issues that may impact delivery or quality.

Requirements

  • Bachelor’s degree in supply chain management, accounting, finance, business administration, or related disciplines.
  • Between 1 and 2 years of experience in inventory accounting or a similar function, ideally within IT or technology sectors.
  • Comprehensive understanding of inventory management, cost monitoring, valuation techniques, and financial reconciliations.
  • Practical experience with inventory management and accounting software, with Zoho familiarity preferred.
  • Strong analytical skills to interpret inventory and financial data and provide actionable insights.
  • Exceptional attention to detail and a methodical approach to record keeping, auditing, and resolving discrepancies.
  • Effective communication and teamwork abilities to engage with project teams, finance departments, and vendors.
  • Preferred certifications include CPA, CIMA, CIPS-UK, or CPSP-K; knowledge of CCTV, access control, and related IT equipment is advantageous.
