GrowNYC is a long-running environmental nonprofit that supports more than 3 million New Yorkers with programs that improve access to healthy food, community growing, and environmental education. Its work includes a Greenmarket and wholesale network that helps local food reach city residents, support for community and school gardens through training, volunteer efforts, and grants, and programs that connect 70,000 children each year with the natural world.
Role summary
The HR Operations Assistant will provide administrative, clerical, and employee-experience support to GrowNYC’s Human Resources team. This role works closely with HR colleagues across a variety of projects and initiatives, helping strengthen communication across departments and programs while contributing to a positive workplace experience. A major part of the job is supporting employees throughout the full lifecycle, from onboarding through offboarding, so that people feel informed, welcomed, and supported at every stage.
Key responsibilities
- Manage the full onboarding process, including offer letters, I-9 verification, and required training assignments.
- Coordinate offboarding with internal teams, including termination paperwork, asset return, and related closure steps.
- Provide day-to-day administrative backup and temporary operational support to the HR team.
- Help maintain a welcoming office environment by keeping shared spaces organized, creating nameplates, and supporting staff social activities.
- Develop signs, flyers, and posters for internal use and organizational events.
- Run, update, and review employee surveys through Paylocity.
- Organize and facilitate bi-monthly HR Town Hall meetings.
- Support wellness programming and other employee engagement initiatives.
- Administer HR programs such as recognition and birthday acknowledgements.
- Join recurring meetings with other teams to share HR updates and gather feedback.
- Create presentations for senior leadership on HR initiatives, policy updates, and practices.
- Help plan, coordinate, and attend staff events.
- Support the learning management system, including setup, maintenance, and feedback collection.
- Help employees use the LMS effectively and create training materials on HR policies and related topics.
- Attend monthly meetings focused on the training plan.
- Meet weekly with the Talent Acquisition Manager to review recruiting work and project progress.
- Screen resumes for open roles.
- Assist with phone screens, interviews, and reference checks when needed.
- Schedule interviews and keep applicant tracking records current.
- Post job openings on relevant job boards as needed.
- Participate in hiring meetings and support recruiting activities with managers.
- Revise and maintain job descriptions and job postings with the Talent Acquisition Manager.
- Support outreach efforts for recruiting.
- Help the team stay on track with hiring timelines and deadlines.
- Represent GrowNYC at job fairs and career events, both virtual and in person.
- Contribute to ongoing improvement of talent processes.
Required qualifications
- 1–2 years of experience in human resources, people operations, or comparable administrative support.
- Ability to manage confidential information carefully and professionally.
- Strong written and verbal communication skills across all organizational levels.
- Excellent organization and time management skills, including the ability to juggle priorities and deadlines in a fast-moving environment.
- Self-directed approach with the confidence to spot improvements and put solutions into action.
- Very strong attention to detail, with a creative and practical problem-solving mindset.
- Good interpersonal skills and the ability to build cooperative working relationships.
- Ability to gather, review, and interpret data to support HR decision-making.
- Comfort using Microsoft Office Suite, especially Excel, and Google Workspace; Adobe Creative Suite and Canva are helpful but optional.
Preferred qualifications
- Familiarity with Paylocity or a comparable HR platform.
- Experience with TalentLMS or a similar learning platform.
- Interest in food justice and equitable policy work.
Schedule and work location
This is a primarily Monday through Friday, 9:00 a.m. to 5:00 p.m. position. The role is expected to average 35–40 hours per week and be based onsite in GrowNYC’s downtown Manhattan office. In-office attendance is required every Wednesday. Some work may also take place offsite, including at the GrowNYC Food Hub in the Bronx and at job fairs or other work-related events across the five boroughs.
Physical requirements
The role requires the ability to remain seated for extended periods and to travel within the five boroughs as needed.
Compensation and benefits
This is a non-exempt salaried role with pay ranging from $52,000 to $55,000 per year, depending on experience. GrowNYC offers full benefits, including medical, dental, vision, life insurance, long-term disability, an incentive savings plan, paid time off, Public Service Loan Forgiveness, and FSA programs. Full-time regular employees may also be eligible for parental leave after 175 days of employment. The role is not union eligible.
