Guest Transport Administrator

Job Overview

This position supports the Guest Transportation function by handling vendor administration, invoicing, and operational documentation. The role ensures precise financial oversight, compliance adherence, and smooth coordination with multiple service providers, enabling efficient transportation operations and aiding both operational and financial outcomes.

Key Responsibilities

• Manage vendor records including contracts, documentation, and compliance monitoring for various service providers.
• Verify and reconcile vendor invoices with system entries such as trips, bookings, and cost codes, ensuring accuracy and prompt payment processing.
• Support financial control by tracking transportation expenses, assisting in budget monitoring, and highlighting any discrepancies.
• Maintain operational records like bookings and reports to facilitate daily workflows and auditing processes.
• Ensure compliance with internal policies, contract requirements, and audit standards.
• Generate regular operational and financial reports covering invoices, trip data, and vendor performance.
• Coordinate with internal and external stakeholders including vendors and finance teams to resolve invoice issues and document discrepancies.
• Identify and assist in streamlining administrative processes and enhancing reporting accuracy.

Qualifications and Experience

• Bachelor's degree is required.
• Between 2 to 5 years of experience in administration, finance support, or operations support roles.
• Prior experience in invoice processing, vendor coordination, logistics, or transport operations is preferred.
