Job description
Overview
We are seeking a diligent and self-motivated Facilities Manager to support our expanding renewable energy company operating across multiple countries. This comprehensive role will oversee the management and upkeep of our offices located in Cork, Edinburgh, and London, ensuring they remain secure, efficient, and properly maintained. The role further involves supervising facility services, vendor relationships, fleet operations, and workplace compliance.
Key Duties
- Manage daily operations of the Cork, Edinburgh, and London offices, maintaining safe and functional working environments.
- Coordinate with contractors, building services, maintenance activities, visit management, office logistics including supplies, mail, catering, and essential equipment.
- Assist with internal communications, employee onboarding and offboarding, company events, waste reduction programs, budgeting, and property administration.
- Supervise planned preventive and reactive maintenance across all office locations, ensuring prompt logging, tracking, and resolution via appropriate vendor systems.
- Oversee soft service providers such as cleaning, catering, hospitality, pest control, waste disposal, and supplies management; ensuring amenities like coffee machines and water coolers are properly serviced.
- Maintain strong supplier partnerships for both hard and soft services through ongoing reviews, issue resolution, and contract management to meet service levels and KPIs.
- Manage the UK and Ireland vehicle fleet, including lease administration, maintenance, insurance, taxation, and vendor coordination; ensure compliance with relevant regulations including driver documentation, tracking devices, and driver declarations.
- Supervise installation, maintenance, and reporting of electric vehicle chargers across offices, operational sites, and employee residences.
- Support workplace health, safety, and compliance protocols including training documentation, audits, safety inspections, emergency planning, and liaise with health and safety committees and representatives.
- Offer flexible assistance across facilities, fleet, office operations, and employee experience projects as business demands evolve.
- Drive continuous enhancement of workplace processes, supplier management, and operational effectiveness.
Candidate Profile
- Demonstrable experience in facilities or office management, workplace operations or similar roles particularly in multi-site or multinational environments.
- Proven expertise in managing suppliers and contractors with the ability to oversee service delivery, resolve challenges, and manage recurring service needs.
- Working knowledge of maintenance, cleaning, catering, office supplies, and workplace equipment management.
- Experience supporting health, safety, and compliance in office or operational settings.
- Strong organisational and multi-tasking abilities with keen attention to detail across dispersed locations.
- Confident with financial oversight including budgets, invoice processing, contracts, and record maintenance.
- Practical approach to problem solving, able to react rapidly to day-to-day operational issues.
- Excellent interpersonal and communication skills for effective engagement with employees, vendors, building managers, and senior leaders.
- Fleet management experience, vehicle administration, or EV charger infrastructure knowledge is advantageous.
- Independent self-starter with a mindset geared towards ownership and continuous process improvements.
