Role Overview
We are seeking a meticulous and highly organized Executive Assistant to provide dedicated administrative and ad hoc support to our CEO and Founder. This role involves managing internal and external scheduling, coordinating complex travel plans, facilitating smooth communication, and assisting with personal tasks and errands. The ideal candidate is a proactive self-starter experienced in serving senior-level executives with a strong urgency to meet demands.
Key Responsibilities
- Oversee daily schedule management, coordination, and meeting logistics, acting as the primary liaison between the CEO and internal teams as well as external partners.
- Plan and organize team meetings, executive offsite events, and other group gatherings.
- Arrange detailed and complex travel itineraries domestically and internationally for CEO stakeholder and partnership meetings.
- Attend critical meetings to document notes, distribute them to relevant parties, and monitor follow-ups on action items.
- Anticipate the CEO’s requirements by proactively identifying potential issues and offering effective solutions.
- Prepare comprehensive briefing materials ahead of meetings including purpose, attendees, agenda, and objectives.
- Maintain strict confidentiality of sensitive documents, meetings, and data.
- Act as a distinguished representative for the CEO in interactions with AvantStay leadership, personal networks, investors, board members, consultants, and other stakeholders.
- Manage scheduling of personal appointments and oversee key personal administrative tasks.
- Perform any additional duties as assigned.
Required Qualifications and Skills
- Bachelor’s degree or equivalent qualification.
- Minimum of five years supporting senior or C-level executives, preferably within a startup atmosphere.
- Exceptional organizational capabilities with the skill to juggle multiple priorities in a dynamic, fast-evolving work environment.
- Strong written and verbal communication proficiencies, including crafting messages and presentation materials.
- Flexibility to work outside conventional office hours when needed.
- Proven discretion in managing confidential information.
- Professional approach in collaborating with diverse groups such as investors, board members, senior leadership, and company staff.
- Ability to independently handle a high volume of tasks and projects with minimal supervision.
Additional Details
The position is open to candidates located in North or South America who are fluent English speakers and can work across PST and EST time zones to accommodate executive schedules. Compensation will be tailored to the candidate’s geographic location, skills, and experience.
