About the Role
Join a distinguished boutique global investment bank headquartered in New York City as an Executive Assistant to the CEO. This small, elite firm offers seasoned strategic advisory services in mergers & acquisitions, capital markets, and shareholder affairs. Although recently launched, it has quickly established a robust presence supported by deep transactional knowledge and longstanding client ties. You will be part of a tight-knit four-person team, playing a pivotal role with visible and substantial impact from the start.
Key Responsibilities
- Provide comprehensive executive support including managing the CEO's dynamic calendar across multiple time zones and handling invoicing duties involving client billing and PDF manipulation.
- Serve as the CEO’s primary gatekeeper by aligning priorities and protecting time effectively.
- Prepare and organize meeting briefs, agendas, and follow-up materials while drafting and managing professional correspondence on the CEO's behalf.
- Communicate and coordinate with clients, investors, senior stakeholders, and vendors, ensuring smooth expense filing and invoice processing.
- Arrange complex, multi-leg domestic and international travel logistics such as flights, ground transportation, accommodations, and dining, leveraging personal airline status and direct booking channels to optimize itineraries.
- Handle last-minute travel changes expertly with discretion, manage travel documentation including visas and passports.
- Support light office administration by overseeing supplies, guest coordination, and maintaining a polished office environment.
Qualifications
- Between five to fifteen or more years of experience providing executive-level assistance, especially supporting senior executives in high-intensity settings.
- Experience working in intimate or boutique environments is highly valued.
- Exceptional organizational prowess, acute attention to detail, sound judgment, and solid interpersonal communication skills capable of interacting with high-level stakeholders.
- Proficient use of Outlook, Excel, Adobe Acrobat, Expensify, and other related software tools.
- Demonstrated expertise managing complex travel arrangements efficiently.
Work Environment & Terms
- Work is performed full-time onsite at a premier Midtown Manhattan office, Monday through Friday, typically from 9 AM to 5 PM with some flexibility.

Additional Information
This role offers competitive compensation ranging from $100,000 to $130,000 per year, complemented by a discretionary bonus.
