Role Overview

We are looking for a strategic and polished Executive Assistant to partner with senior leaders across Harvey. This position transcends traditional administrative duties; it requires someone who can significantly enhance an executive's efficiency, act as a force multiplier, and introduce structure into a fast-paced and critical environment.

The successful candidate will have extensive experience supporting senior and externally-facing executives, adeptly managing relationships both inside and outside the organization. This person will display strong judgment, prioritize effectively, and ensure executives focus on the most impactful activities. Ownership of executive time, confidently offering opinions, and contributing to meaningful business results are essential.

Key Responsibilities

  • Optimize and manage complex executive calendars, ensuring allocation of time to top-priority engagements both internally and externally.
  • Act as a strategic gatekeeper, triaging incoming requests and providing confident recommendations for executive attention.
  • Manage and scale the flow of executive requests, bringing clarity and order among various stakeholders and facilitating efficient prioritization and follow-up.
  • Coordinate across teams and external contacts to guarantee seamless, proactive, and high-quality communication while fostering strong relationships.
  • Oversee the full cycle of meeting preparation including agenda development, material compilation, and driving follow-up actions to maintain momentum.
  • Handle complex inboxes and communications by synthesizing information, drafting replies, and ensuring executives remain well-prepared and ahead of critical decisions.
  • Plan and execute efficient, well-organized travel arrangements and logistics.
  • Support strategic projects and initiatives through organization, follow-through, and a strong bias towards action.
  • Assist in creating clear, polished executive presentations and materials aligned with priorities.
  • Maintain a calm, steady, and positive demeanor to uphold alignment and trust across diverse relationships.
  • Manage sensitive and confidential information with discretion and sound judgment.

Required Qualifications and Skills

  • Minimum of three years supporting senior executives, preferably at high-growth companies and with experience aiding C-level or equivalent leadership.
  • Proven expertise in managing complex stakeholder ecosystems including both internal cross-functional teams and senior external partners.
  • Strong decision-making and prioritization skills to handle competing demands effectively on behalf of executives.
  • Experienced in managing high-volume and complicated communications with a focus on establishing leverage and prompting decisive action.
  • Demonstrated ability to develop scalable systems for request and workflow management to maintain executive engagement.
  • Excellent communication skills capable of producing executive-level messages and confidently engaging senior stakeholders.
  • Professional demeanor and presence, with the capacity to influence and build trust across organizational levels.
  • Calm and solution-driven approach under pressure, providing structure amid ambiguity.
  • Highly proactive, resourceful, and possessing a strong sense of ownership and urgency.
  • Discreet and trustworthy in handling confidential matters.

Compensation and Equal Opportunity
