Role Overview
The Executive Assistant will work directly under the Founding Partner and CEO, acting as a critical support by managing communications, scheduling, and administrative duties. This role involves screening and drafting email responses, preparing company summaries, proofreading, managing outstanding tasks, coordinating conference calls, and organizing the executive’s calendar and travel arrangements both domestically and internationally.
Key Responsibilities
Although calendar and travel management occupy less than one-third of the workload, the primary focus will be efficiently handling email correspondence on behalf of the CEO to clients, including senior-level executives such as presidents of Fortune 500 firms. Communication must be flawless and professionally crafted. This role requires sharp memory to keep track of multiple client details.
Additional responsibilities include preparing contracts based on templates in collaboration with the CEO, documenting all correspondence and calls within the CRM system, and performing other administrative tasks as needed. Due to the dynamic nature of the environment, the incumbent will encounter varied daily tasks and gain exposure to diverse industries, making it an excellent learning opportunity.
Candidate Requirements
- Minimum of five years support experience as an executive assistant to C-level executives
- A bachelor’s degree or higher qualification
- Exceptional command of English grammar and writing skills
- Meticulous attention to detail
- Proven expertise in business correspondence, documentation, contracts, and handling financial information
- Strong memorization capabilities
- Advanced proficiency in Microsoft Office Suite 2010, with specific expertise in Outlook, Word, and Excel
- Ability to multitask while maintaining a professional attitude and perform well under pressure
- Team-oriented with a willingness to assist with general office duties such as phone handling and to extend working hours when necessary
- Legal contract experience is a plus
