About the Role
JPI is looking for an Executive Administrative Assistant to support a federal government client. This position involves confidential assistance to an Executive Director (XD), crucial for maintaining smooth administrative operations, managing correspondence, handling communications, and addressing executive inquiries effectively. Candidates must demonstrate at least five years of experience supporting senior-level federal clients, exhibit independence, pay strong attention to detail, and collaborate well with program managers and client staff.
This is a 1099 hourly position.

Key Responsibilities
- Carry out specialized, non-routine administrative duties.
- Oversee projects and financial tracking for assigned units.
- Perform professional-level duties requiring judgment, initiative, and tact.
- Develop methods for data collection and analysis, preparing complex briefings.
- Generate reports, offer recommendations, facilitate project management and event planning.
- Manage incoming and outgoing correspondence for the Executive Director, ensuring accuracy and timely responses by relevant program staff.
- Schedule and coordinate calendars and communications for federal client leadership.
- Prepare meeting agendas, minutes, and preparatory documents.
- Send meeting invitations and monitor attendance responses.
- Create and disseminate ad hoc briefings and reports.
- Serve as main liaison for information distribution and coordination.
- Assist with drafting and reviewing client documents and reports.
- Maintain updated contact lists, organizational charts, and distribution lists.
- Distribute official correspondence.
- Interpret government policies, regulations, and directives relevant to duties.
- Utilize tools including MS PowerPoint, Excel, Word, Teams, SharePoint, and Jira.
Candidate Requirements
- At least five years of demonstrated administrative support experience for program offices and senior managers.
- Exceptional written and verbal communication capabilities.
- Strong precision and organizational skills.
- Eligibility to obtain a Public Trust Clearance.
- Proactive self-starter who works well autonomously and collaboratively with executives and support staff.
- Ability to manage multiple responsibilities efficiently under deadlines.
- Experience establishing rapport with colleagues, clients, and stakeholders, recognized for reliability and attention to detail.
- Proven success managing client relationships, including senior leadership interactions.
- Advanced proficiency with Microsoft Office365 applications including Teams, Excel, and SharePoint.
- Must be a United States citizen.
