Role Overview
PrincePerelson and Associates is seeking a detail-oriented and highly organized Executive Administrative Assistant to join their New York, NY office. This full-time onsite position offers approximately $72,800 annually, based on a $35 hourly rate for a 40-hour workweek. The selected candidate will provide critical administrative support to executives and teams within a vibrant financial services environment.
Key Responsibilities
- Deliver daily administrative assistance to executives and business units.
- Coordinate intricate calendars spanning various time zones and arrange both virtual and face-to-face meetings.
- Handle frequent communications and scheduling requests with professionalism and efficiency.
- Manage all facets of domestic and international travel bookings including itinerary and logistic details.
- Organize meetings and events by overseeing room reservations, catering services, attendee registrations, and preparation of materials.
- Accurately process expense claims, invoices, and related paperwork within deadlines.
- Support filing, document scanning, and other general administrative activities, including special projects.
- Ensure confidentiality when managing sensitive organizational information.
- Collaborate with fellow administrative staff to maintain consistent and flexible support aligned with business demands.
Candidate Profile
- Possesses 3 to 5 or more years of experience in administrative or executive assistant roles, especially within busy settings.
- Familiarity supporting senior executives or multiple stakeholders is highly desirable.
- Exhibits strong communication, organizational prowess, and multitasking skills.
- Capable of managing competing priorities calmly in a high-volume work environment.
- Demonstrates meticulous attention to detail and persistence in completing tasks.
- Maintains a professional demeanor, exercises discretion, and applies sound judgment.
- Proficient with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Zoom video conferencing.
- Experience with expense management systems like SAP Concur is advantageous.
- Background in financial services is preferred but not mandatory.
