Overview

The Contract Management Specialist is tasked with overseeing compliance throughout the entire contract lifecycle. This includes ensuring that both internal teams and external partners such as suppliers, contractors, vendors, and customers meet their contractual responsibilities. The role involves monitoring contract execution, interpreting terms, mitigating risks, maintaining detailed records, and guaranteeing adherence to contractual, regulatory, and organizational standards.

Primary Duties

  • Continuously review active contracts to confirm adherence to agreed terms, conditions, obligations, and performance benchmarks.
  • Keep track of deliverables, deadlines, milestones, service level agreements, and performance indicators associated with each contract.
  • Identify and investigate compliance discrepancies and coordinate necessary corrective measures with stakeholders.
  • Conduct periodic audits and gap analyses to discover and address potential contractual risks.
  • Ensure organizational policies, applicable laws, and industry standards are consistently followed.
  • Maintain comprehensive and current contract documentation, such as amendments, extension agreements, correspondence, and supporting materials.
  • Oversee contract validity periods, key renewal dates, and contractual responsibilities from initiation to closure.
  • Assist in contract closure activities by verifying completion of all contractual obligations and archiving pertinent documentation and insights.
  • Manage contract-related data within contract management software to ensure accuracy and integrity of records.
  • Interpret contract clauses and provide guidance to internal departments on their application.
  • Collaborate with diverse teams, including Operations, Production, Engineering, Finance, Quality, and Project Management, to fulfill contractual commitments.
  • Partner closely with Legal teams on issues concerning contract interpretation, disputes, claims, and compliance matters.
  • Generate compliance reports, dashboards, and presentations for management review.

Qualifications & Experience

  • Bachelor's degree in Law, Engineering, Business Administration, Operations Management, or a closely related field.
  • Between three and five years of relevant experience in Contract Management, Administration, or Compliance.
  • Preferred experience sectors include manufacturing, heavy engineering, metals, energy, or similar industrial fields.
  • Candidates should come from non-procurement backgrounds such as Legal, Operations, Project Management, Engineering, Quality Assurance, or Manufacturing.
  • Applicants exclusively experienced in procurement, purchasing, or sourcing without contract management duties will not be considered.

Skills and Technical Expertise

  • In-depth knowledge of contract lifecycle management and compliance procedures.
  • Strong grasp of contract law, contractual terms, and principles of risk management.
  • Proficiency in Microsoft Office Suite, especially Excel.
  • Familiarity with contract management systems, document management platforms, or ERP tools is beneficial.
  • Capability to analyze contract-related data and produce detailed management reports and compliance dashboards.
