Role Purpose
This role provides vital administrative and accounting support to the Texas Project and other Gulf Region projects as needed. Key functions include handling sewer billing inquiries, managing department billing, maintaining records, and assisting customers with payment processes. The role requires strong judgment, communication, organizational skills, and the ability to manage financial data meticulously and confidentially while balancing multiple priorities independently.
Key Responsibilities
- Accounting tasks such as processing requisitions including capital projects using PeopleSoft, preparing blanket purchase orders for yearly materials, and maintaining monthly financial spreadsheets.
- Facilitating month-end financial closing by accurately allocating costs, verifying invoices, approving purchase codes, investigating vendor payment issues, and processing employee expenses.
- Supporting project management by assisting with client reporting, preparing reports on chemical usage, sludge, energy consumption, and maintaining administrative manuals and project files.
- Addressing customer concerns related to collection systems, collaborating with the management team for prompt resolution, and providing routine clerical support including filing, correspondence, and paperwork.
- Working with confidential information related to employee issues, financial details, and legal documents, ensuring discretion and accuracy.
- Human resources support involving maintaining project records, assisting with payroll and HR issues, timekeeping, onboarding tasks, and managing requisitions and purchase orders.
- Laboratory assistance that includes sample logging, preparation, priority management, reagent preparation, laboratory instrument maintenance, and supply inventory management consistent with SOPs and compliance standards.
Candidate Profile
- Minimum education: High School Diploma or GED. Accounting coursework or college education preferred.
- Experience: 2 to 5 years in accounting and administrative roles preferred.
- Technical proficiency with Microsoft Office suite, PeopleSoft, SAP, Adobe, and other software platforms.
- Strong organizational and multitasking ability with meticulous attention to detail.
- Excellent verbal and written communication skills.
- Capability to work independently and as a cooperative team member.
- Ability to handle confidential data responsibly and adapt to competing demands.
Physical Demands
- Prolonged periods of sitting while using office equipment and computers.
- Regular transitioning between sitting and standing positions.
- Ability to perform repetitive tasks and manual handling involving fingers and hands.
- Frequent bending for filing and record maintenance.
