Role overview

The Project Coordinator will support the smooth handling of jobs from start to finish by arranging equipment orders, managing project paperwork, and keeping communication flowing among manufacturers, general contractors, owners, and United Elevator Services. The position is focused on keeping coordination, records, and documentation accurate throughout the full project lifecycle.

Key responsibilities

  • Manage and monitor job activities across different project types, making sure all stakeholders stay informed and aligned.
  • Authorize job release to production with the manufacturer once approved, communicating customer requirements and delivery timelines clearly and correctly.
  • Partner with Sales, Superintendents, and Field Supervisors to maintain project accuracy.
  • Prepare invoices and follow up on payment collection for completed jobs.
  • Compile, organize, and deliver closeout documentation.
  • Arrange permits, process change orders, and request submittals and updated drawings.
  • Prepare purchase orders for new installations, RMA reports, and warranty-related parts.
  • Serve as a communication link between manufacturers, general contractors, owners, and internal teams.
  • Share clear, timely project status updates with everyone involved.
  • Keep thorough records of specifications, progress, and job status.
  • Ensure all job orders, change orders, and closeout files remain current and accurate.
  • Carry out additional tasks as assigned.
